What inspires you?

I love it when Clients want to design their event around a theme. It gives us both an opportunity to free our imaginations and create the best, most cohesive, design that reflects the theme featuring their style. For me, my first task is not to ask, "what's your theme". Instead, my task is to really discover "What inspires you?" What does the theme mean to them and how do they want to convey it? Will it be subtly placed elements and modest details throughout the event or perhaps bold, sweeping visual statements throughout room(s). In other words... How is the best way to present the elements that will represent the theme?

Wedding planning and design can be bit overwhelming for some Clients. When you consider there are many different Art & Design styles, techniques, and principles as well as thousands of images and ideas offered by magazines and websites - the "Theme" wedding seems like a easy way to approach the process. Eventually some Brides start to think, "Well, I can walk into any Party Supply Store and find tons and tons of theme oriented decorations". Of course, the question then becomes... do you really want your "one-of-a-kind" special day to look like it was pre-ordered from a "Party Supply Store?"

Don't feel as though you have to recycle the same old ideas and images you (and everyone else) has seen before. Remember, "Design Inspiration" can come from the simplest of images, stories, or trinkets. From an old childhood swing on a tree beside a blossoming meadow to a chic, modern city skyline to shimmering antique crystal chandelier and everything in between... any thing, person, sight, sound, texture, flavor or fragrance can inspire. Here are 3 things to consider when you start to explore an event or wedding theme.

1.) Don't be literal!
I think that many couples fall into, what I like to call, "the symbol trap". This is were they pick a few generic theme symbols and scatter them around the room or on a few tables. The effect often resluts in an unpolished, disjointed, and bland look. The first step to creating a unique and personalized theme event is not to be too literal. Sure, you are going to have certain commonly used ideas, elements or symbols to represent your theme but you don't want them to be too cliche. For example, if you're considering a Valentine's Day theme wedding, then try to avoid cliches elements like a Red & White color schemes, Hearts, Rose Petals, etc. Instead, look more into what the theme means to you and how it can be interpreted to make it your own. Instead of "Red & White" color scheme consider using a combination of richer shade of Red like Burgundy along with lighter Candy Apple Red. Also, instead of White use an analogous colors like Plum, Wine, and Aubergine (Eggplant). Instead of "Hearts" perhaps think about other symbols that are more personal to you like Lockets, elements from Classic Literature, your favorite poems, etc.

2.) Rinse...
Keep your concept clean and simple. It can be easy to get swept away in dozens of symbols, ideas, and images that could represent the "theme" of your event. The problem is you want to convey a clear idea to your guests and too many elements will make the theme messy and cluttered. Keep the symbols, colors, etc that will represent your theme to a minimum, no more than 3 key symbols. Now those 1 to 3 symbols you're chosen to represent your theme can be presented in many different ways. It could be small simple details like the colors and texture of you table linens, napkins and menu cards or it could be huge visual statements such as designer room lighting services, ceiling draping, and large displays elements.

3.) ... and Repeat
Ok, now although you want your event to be unique, not every cliche is bad. There are certainly some symbols that are tasteful and down right classic...especially if they are used well. There are some timeless elements like Candles that can be incorporated into many events in a range of forms like rustic lanterns, elegant candelabras, clusters of pillar candles, floating candles is modern-style vases, and so on. Even a flower as sweet and simple as a daisy can take on a dramatic tone when used in volume like dozens and dozens of daisy heads lining the center of a long table like a runner. Daisies may also adorn dozens and dozens of ribbons suspended about the cake table or simply used in every aspect of the event from the "Save the Date" card , Menu cards and on each table at place setting - the key is to be consistent and repeat it throughout the entire event.

Now there are many other ways to define and refine your theme and wedding or event vision but this should be a great start to get inspired... Cheers!

We were delighted to be brought in by our Friends at Antonia Christianson Events to create a fun, fanciful and fabulous centerpiece for an oh so sweet and stylish surprise marriage proposal. Oh and one little side note: Nope, those aren't roses in the incorporated into the arrangement - there's miniature fresh cabbages! A whimsical, fun and beautiful twist to a classic design. Enjoy!

Planning Essentials: You're Engaged... Now what?

Congratulations to all the lovely couples who became engaged over the Holidays or New Years Eve!!

What an exciting time this is for you! And what great timing. January, with it's spirit of fresh renewal is the perfect time to start the Wedding Planning Process. The fact that the majority of engagements (over 30%) occur during the Holiday Season doesn't hurt either. So, where do you begin? Here are 3 helpful steps to getting started:

Step 1: "...that day's gonna be a Good Day!"
Why is selecting a date sooo important? Because it will help you start the process of researching and scheduling, checking Wedding Ceremony & Reception site (or Venues) and Vendor availability, and placing deposits to reserve that perfect location or desired vendor services. Remember, some vendors (especially highly sought after ones) book quickly or only offer limited availability so it's important to start calling to check on specific dates. Also, many Venues offer differing prices depending on the season, time of day, and day of the week. Start selecting a date by picking a couple of potential dates or a timeframe (such as the last two weeks of May) for your wedding day. Then look at your schedule, the schedule of some of the important guests (like parents, best friends, etc.), Holiday's or other special events that may conflict with your big day. After all, you want your special day to stand out and you don't want to compete with Cousin Steve's Graduation. Then... choose your date!

TIP: Not sure if you can snag your dream Venue? Ask about Thursdays, Fridays, and Sundays availability and pricing which often book for less than the more popular Saturdays.

Step 2: Does Size Matter?

Oh yes it does. Not only will the size of your wedding effect the protocols, mood, tone, and feeling of the ceremony and celebration but it will also effect the cost and resources you'll need to create it. So close your eyes and ask yourself, will it be an intimate affair with 60 guests or do you envision a tremendous affair with 200, 300 or more?

Of course, the number of Wedding Party Participates (or Attendants) and wedding guests will vary throughout the planning process but the number of guests will have a direct influence on everything from finding Venue(s) to accommodate the group, to cost of Bridal Party Flowers (Bouquets, Boutonnieres, Corsages, etc.), to the catering cost per person, the number of reception and cocktail hour table linens and decorations, and so on. Just keep it simple and ask yourself, would you like a Small Wedding (less than 100), Medium-size Wedding (about 100 - 200), or a Large Wedding (greater than 250) and go from there.

Step 3: Be at home with your range

Most "Brides and Grooms-to-be" are new to the wedding industry and are not familiar with the various product costs, service fees, and other expenses that eventually add up to the total cost of a wedding. So, how much does the average wedding cost? According to recent data the average wedding in the United States in 2011 costed approximately $26,500 (Some areas do vary, for example in Virginia the average is slightly higher with average at $29,000). Yes, even in this economy... Surprised? The resources, products, and service providers involved in the production of a wedding experience inflation just like any other industry.

Sure, there will always be people out there who are willing to do a poorer job for a lower price and as a result take advantage of Brides & Grooms during there once in a lifetime event... that's the bad news. Now, here's the good news! Most reputable Wedding Professionals will be able to work with you to help you understand your budget, offer options, and assist you in creating a simply wonderful event.

That's why it so extremely important to have a general but realistic budget range in mind. I use the term "Budget Range" because as you enhance or scale back on different aspects of your wedding to focus on what is important to you and what you really don't want the budget itself will range. Sit down and truly think about a "budget range" that features a low-end and a high-end number that you'll spend on your wedding. Keep in mind, the budget will fluctuate as the type, size, style, and details of your wedding takes form. Think about the aspects of your wedding that are important to you, what you are willing to be flexible on, and what you will not compromise on. Remember, giving yourself a "budget range" to work with will be one of the most essential parts in the planning process.

TIP: Relay on your Pro! When you hire Wedding Professionals you hire all of their knowledge, experience, and resources with special events. Most Wedding Pros such as Planners/Consultants or Designers (learn the difference between Wedding Coordinator and Designer in our earlier posts "... and you do what?" or "Why Wedding Flowers cost so much" here), Caterers, and so on will help you keep on track and work within your budget... trust them!

What's next?
Once you've established these very general guidelines for your wedding (The Date, The Budget Range, and The Size) you can start the basic research to begin the wedding planning process. As I mentioned before, January is the ideal time to start planning our wedding, in fact, January through March is known in the wedding industry as "Bridal Shows and Booking Season".

Take the next few days to visit:

Bridal Shows for great wedding ideas
Pick up established Bridal Magazines and visit reliable Wedding Websites (including local ones)
Look for and register to visit Venue and Vendor Open Houses
Make the time to Schedule Consultations to meet with Wedding Professionals.

Be prepared to have...

your Binder or Notepad to keep your notes and pictures
your Calendar to schedule appointments on the spot (Initial Consultations are usually free)
your checkbook or credit card to hold your wedding date with a deposit (Vendors/Venues can book up fast)

Happy New Years! How to have "a good, good Twenty-Twelve"

It is the last day of 2011... so really, how was it for you? We are so grateful for each of our fantastic Brides & Grooms, Clients, Colleagues, Friends, Fans and Followers. I can't express what an honor it's been to share our work, accomplishments, thoughts, and creative spirit with you throughout the year.

Of course it hasn't always been perfect... then again, that's the excitement and challenge of an intriguing life. Every year has it's share of disappointments and loss but it also has opportunities, success, blessings, and oh so much to be thankful for especially if you really take the time to look and realize that no mater who you are there is always someone who will look at you and admire what you have. We often look at what others have, what we desire, and take for granted the things that mean so much to us. Sure, I'd love to have multi-million (or billion) dollar Clients calling all the time but I know I help to bring beauty, joy, wonder, fulfillment, magic, and highlight the most remarkable times in my Client's lives. I take tremendous pride in our hard work and (not to sound immodest) do it stunningly well.

With that said it's time for our yearly list exercise. Take out your notebooks (the paper kind) or some sheet of paper... yes, paper! These exercises work best when written by hand. Now, prepare yourself for a wonderful New Year by following these 5 steps:

1. Make your "Release List":

This is a list of things you will NOT carry with you in the new year. That baggage that has brought you loss, disappointment, and pain. These are things you truly have (had) no control over and can not change. Sure you may learn lessons from them; a mistake, bad decision, bad relationship, missed opportunity, etc. Sit down and write a list of each thing that is weighing on you from this past year (and beyond) and be honest. Even the things you say are "no big deal" but you feel guilt, fear, insecurity, hurt, or loss from. This pain has served it's purpose, take what ever lesson you can learn or good from the loss and become stronger from it but do not let it define who you are, who you can be, and your future.

2. Make your "Gratitude List":

This is the one that people should do but take for granted. Set aside a good chunk of time to sit down and write a "Gratitude List". Sometimes when people think of what they lost, what they don't or didn't have and all the "coulda, shouldas" of life they really become blind to what they do have. For everyone who said, "Oh I wish I could have those cute new shoes" there is someone who is saying, "I wish I could afford new shoes", and someone else saying, "I wish I had shoes" and even someone with blisters on their feet or even lost their feel and legs. Gratitude Lists are easy, take a least 2 to 3 sheets of paper and begin to write what you are thankful for but start simple, really simple and begin to list everything you are thankful to have and can do because of the life you have right now. "I'm thankful I can breath under my own power". "I'm thankful I have a warm bed to sleep in". "I'm thankful I can stand and feel the grass under my feet," (I learned that one when I broke both my ankles in an accident a few years ago). "I'm thankful..." and so on. Move on to your true friends and loved ones, movie night with your sweetheart, time with Grandparents, and maybe those things like a job, insurance, car (although they may not be the latest and greatest) that are yours. Soon you realized just how blessed you are.

3. Make your "Decision List":

Ok, slight change. Instead of Resolutions lets calls these Decisions...a "Decision" is just more empowering. Besides, it's that what you are doing? Resolutions also seem to focus on the end result - "loose weight, get a new house, take a trip to..." and so on. Ok, but how are you going to do it? Decisions focus on the tasks and steps you'll take to make to enhance your life and do the things you want to do. Don't just make a Resolution to loose 30 lbs, Decide to cut out Fast Foods and cook more at home at least 5-6 days a week. Decide to go for a walk with your friends (or even spend some peaceful "me time" walking) every morning. Decide to skip that $8 Coffee Shop Latte & Muffin each day during the week and make your own for $8 a week (by the way that's $32 per week, $128 per month - savings you over $1,500 a year) for that cruse you want to take. You have the ability to make these things happen, you just have to choose to do them. The key is to keep them simple and inline with what you'd like to accomplish.

4. Make your "Week One To Do" List:

This is just a way to get the ball rolling! If you're not in the habit of writing and checking off "To Do" lists I highly recommend them. It's certainly something you don't have to do all the time but for many professionals in a number of industry (events included) having a "To Do" list is vital to getting things done. On another piece of paper (yes, another I'll share why a little later) write down the things you've "decided" to do this year. Then select one of those goals you'd like to accomplish and make it the one for this week (or even this month) and create a detailed lists of tasks you will have to do to make it happen. Research and reading, phone calls, shopping list, appointments... what ever you need to do put it on your "To Do" list.

5. Send them on their way:This is my favorite part! Unless it's actually being used on a daily basis lists and letters mean nothing and that is what most New Years Resolutions do... sit on a desk or posted on a refrigerator doing nothing. They turn into just a sign laying away and soon you pay as much attention to it as picture on a wall... a little entertaining but easily missed. So here's what you should do with each of these list:

Release List - Burn it! Don't just throw it way or shred it but in a safe manner burn it. There's something catharsis about watching that negativity and baggage go up in embers and smoke.
Gratitude & Decision List - Mail it! Please both lists into envelopes, stamp, and mail them to yourself. When you receive it the next day put it up somewhere safe. In about 3 to 6 months (when you need a little reminder, encouragement or a push) you'll open, read and revisit why you are grateful and what you're goals are.
You will keep the "2nd Decisions & To Do" List because you should be interacting with it (checking off items) on a daily (or weekly) basis.

Well, that's it! I wish you all the hope, joy and happiness your heart desires in 2012. I'm excited about all the wonder it will bring and know fantastic things await us all. Yes, indeed...

Joy, Laughter, and Light of the Holiday Season

No mater what you are celebrating (Hanukkah, Christmas, etc.) I wanted to take a moment to wish you all (our lovely Readers, Followers, and Fans) joy, laughter, and light as we celebrate during this Holiday Season. This year has been filled with such fantastic Clients, wonderful events, and exciting changes. It's been a pleasure sharing it all with you. I'm have to say, I'm utterly filled with so much creativity, hope and promise for a fantastic 2012... it's limited only be the imagination.

With all the hustle and bustle of shopping, wrapping, cooking, eating, drinking, visiting, and so on it's so easy to forget to stop and simply cherish the blessings of the family, friends, and loved ones around us. Relax. Take a breath and really take a moment of quite reflection. Stop and appreciate those who touch your life and the lives you touch. Be thankful to have shared this past year with them and make sweet memory to treasure.

We will be taking some time to spend with our own family and friends over few days so we will be reducing our hours of operations until January 6th. Creative Changes - our 2nd Location!

During our Holiday Open House & Toys for Tots Donation Event we shared some very special news with all who attended. News about a distinct change to Vivid Expressions that is... well... more than a little exciting and should offer a wonderful experience for our Clients, Colleagues, Partners, and Friends.

As you many know Vivid Expressions has been happily designing and providing wedding & event services for over 5 years but only opened our doors at our Virginia Beach Studio-gallery for just over a year and a half. We have shared space and partner with our dear Friends at Copper Art Inc. to showcase both of our Artwork and Designs as well as host Client meetings and do production work.

As of January 2012 we will have a new location for Design & Consulting! We will scale back our space at the Virginia Beach location which will continue to have a primarily focus on "wedding & event production work" and we will still offer creative ideas and sales of Copper Art Inc. wedding & event products for our Clients. The Virginia Beach location is now known as the Vivid Expressions LLC Production Workshop and all of our Design, Consulting, and Creative Services meetings and operations will take place at our chic and artsy Norfolk location as we have become members of the 757 Creative Space Office Community. Our new Design & Consulting Site is located at 259 Granby Street in Downtown Norfolk on the 2nd floor. Check out some images of our new digs below:

Oh, how we love this time of year. Crisp cool air, warming smiles from friends and loved ones. Best of all we welcome those who mean the most to us into our homes for celebration and sharing.

This season is also known as the "Holiday of lights" and we looove candles. Well, I use any excuse to use candles but for the holidays it's a must. Here's a quick home entertaining tip. For your next home holiday party try nestling pillar candles in a bed of whole coffee beans, whole Cloves, whole Star Anise, broken cinnamon sticks, or any of your favorite other whole, dry spices. Light the candles and as they warm an your home will fill with the fragrance. Cheers!!

Annual Holiday Open House - 2011

On Tuesday, November 15th, 2011 Vivid Expressions LLC was delighted to host our 2nd Annual Holiday Open House. We're so grateful for the "Creative Celebrations" we've been a part of over 5 year and this event has become our way to celebrate our Clients (past, present, and future), colleagues, friends, and fans. All were welcome to come out, see original designs and artwork, mingle, eat, drink, laugh, and be marry.

We also added a couple of "Special twists" this year - the first was adding a "little purpose to our party". This year's event became a donation spot for the charity "Toys For Tots". Guests could opt to bring a new, unwrapped toy to give to that charity and a U.S. Marine was on-site to collect the donations.

We also had a "Special Announce" and guests of the event would be the first to hear some exciting news we had to share (but more on that later). Today, I'm sharing some images from the Holiday Open House and Donation Event. Ok, now I do have a disclaimer, some of these are from my own camera but the most lovely images capturing the event, decor and details are courtesy of our friends at ONON Digitography... enjoy!

Creative Projects

Few things are as fullfilling to an Artist than the opportunity to be given a single inspiration and then being let loose to create! We were absolutely honored to be brought in as Event Stylist & Floral Designer for the recently creative project for "Orchestrated: Stylized Shoot". This event, entitled "Ink & Pearl", presented us with an intriguing task - to create an exquisite decor and designs that reflected the opulent luxury of a "Chanel and Fine Art" theme inspired wedding, done in the neutral contrasts of black and white.

Here are just a few "Unofficial" (ie: taken with my camera phone) pics along side one or two professional pictures captured by the exquisite eye of Bit of Ivory Photography. We can't what to share more some professional pictures as they become available but for now enjoy... cheers!

"... and you do what?": Part IV What exactly is an EventDesigner

Well here it is, the last in the series, "... and you do what?" We've looking into "the truth about Day of Coordinators", the difference between "Partial and Full-Service Planning Services" and now it's time to plunge into an old creative industry profession that's recent finding mainstream recognition - The Event Designer.

Yep, thanks to the array of Design Shows now on television and Celebrity Planners who also design like David Tutera, Colin Cowie, and Preston Bailey the idea of an Event Designer is becoming more and more popular but isn't Designer the same thing as a Planner? Well, not quite. The profession goes back much further and takes many other forms.

Walk into a mall (shopping center, City Center, Hotel, etc.) this time of year and you'll see an example of the Designer's origins. Tall, sweeping displays have been designed and constructed. Enormous storefront windows with elaborate details, props, and Holiday theme especially fabricated. Back in the mid 80's and early 90's major department stores like Bloomingdales, Macy's, etc. spent a tremendous amount of time and effort on breathtaking window displays. These stores not only took pride in their eye-catching window displays, they turned into a huge competition... literally stopping traffic in metropolitan cities with crowds of on-lookers buzzing with chatter about the unique and innovative scenes. This was just one of the design industries that created temporary, theme stylized environment.

These displays aren't the only example. You can see my favorite examples of Designers in action when you go to the movies or pop in a blu-ray. Think about this, what was the last fantastic, epic movie you saw? I'm talking about a truly visually stunning film that transported you (and your imagination) somewhere new and inciting - somewhere you knew didn't exist today. They captured landscapes, buildings, and scenes from another culture, time in history or a lush, enchanted world. Perhaps you find yourself watching a story set in a chic, modern atmosphere or a scene of breathtaking glamour and luxury. Or maybe they created an entire world - a fantasy world unlike any you've ever seen, a world that sweeps you away. I've actually had a little experience in this. I've worked in Animation/Film Production, The Arts (including Stage Production), Re-enacting/Entertainment, and Museum Industries - I've spent many years working with the creation of an experience that's designed to take you to another time and place.

So, who's the driving force behind making these scenes, experiences, or worlds a reality? Who oversees concept design, scouting the location, and building of sets when such places just don't exist in real life? Who will find or custom design props, wardrobe, details, accents, and so on? In Movies they are call Art Directors. In Stage Productions, Operas, and Concerts they are known as Artistic Directors. And in the world of Special Events they are Event Designers.

Recently we've seen Designers (also called Architects and Stylists) being utilized for wedding, corporate, and social events because more than ever consumers have access to new options, technology, resources as well as a desire to make their event one-of-a-kind. Designers develop every aspect of the visual design, scenery experience, and production on an event's look. They also go beyond the "pretty things" such as table centerpieces and ceremony alter decoration, the Designer helps to create an entire environment not just the centerpiece. Think of it this way, when you arrive home you don't walk into a sofa, you walk into a room with walls (that may or may not have paint or wallpaper), artwork on the walls, lighting fixtures, carpet or flooring, a coffee table and end-tables, lamps, plants, etc. Everything has the potential to come together to create a lovely living environment and your sofa is just one large element of the room. Designers don't just take your centerpiece into consideration but where it will rest, the type of table, the linens on the table, the decorative and purposeful accents like glassware on the table, the chairs surrounding the table, where the table will be in the room, the scale of the room, the lighting in the room, the structures in the room, and so on.

They also head elements like color theory, techniques and principles such as dimension, proportion, balance, line of sight, flow, staging, rigging, and more. With the vast array of resources, technology, and choices available to a Bride and Groom as well as a spirit of individuality (let's face it, no one wants their special day to look and feel like everyone else's) more and more couples are hiring Event Designers to manage not only the design and production of their wedding's look but manage the budget for the design. Design work may include the design and/or production of Bridal Party's Flowers, Ceremony Flowers and Decor, Stationary, Table decorations (including favors, signage, Linens and Chairs), Focal Point Area Design (including Cake and Gift Table), Lighting Design, Rentals, and more.

So, when should you consider hiring an Event Designer or Stylist?

An Event Designer is right for you if:

The look, decor and environments you want you (and your guests) to experience is an extremely important element of your wedding or event.
You are overwhelmed with hundreds of ideas and images (from magazines, blogs, television shows, etc.) and you want the look to be cohesive, personal, stylish, and beautiful... not a messy cluster of homemade madness.
You have strong organizational skills or have hired a professional Planner for the organization and logistics but want a creative professional's skills, resources, manpower, and insight to insure beautiful results.

What an Event Designer Does:

Can typically spend up to 40 hours on pre-wedding/event service production work
May work in collaboration with a Planner or Coordinator as a Decor and Floral Design Vendor
Develops concise event design concepts and plans
May develop the Design, Floral and Decor Budget
May provide visual aids including sketches, floor plans, mock-ups, etc. to develop designs and layout
Provides (or sources) design events (including Flowers, Linens, Rentals, etc.)
May outsource and manage specialty services/products such as props, equipment and lighting
Conducts site visit for needs assessment including delivery, restrictions, and structural requirements
May manage on-site production, installation, and de-installation (including breakdown and removal) related to decor set-up

What an Event Designer Does not:

Does not necessarily act as Event Planner or Coordinator (although some offer Planning and Coordinating referrals or "add-on services")
Does not typically coordinate Non-Design Related Vendors (example: Officiant, Limousine Driver, etc.) unless otherwise offered
Is not responsible for the creation or implementation of the overall Event Timeline (just adherence to timely production of design responsibilities)

Bonus insight...

What's the cost?
Well, I'm sure after reading all of these posts regarding "who does what" you can see how important it is to hire a professional to take you through this long, detailed process. You see how much time, money, and resources you'll gain by having a "Day of" (month of) Coordinator, a Partial or Full-service Planner, or an Wedding/Event Designer on your team. At this point for some of you the only question will which one is right for me? While for others the question is how much? Over the years when talking with Brides and Grooms I often find that once they start to discover how much a wedding actually costs they start to become overwhelmed and perhaps a little concerned. Some look for places to cut back on or for things they think they can simply do themselves. Then we chat or they read something like these posts and realize that they will not only actually save more time and money in the end but they will be guaranteed to have the expereince they dreamed of. So, what's the cost?

Here's the "bottom line" on your wedding or event bottom line:

Depending on the region the typical wedding budget in the United States in 2011 is $26,000 (example: In Virginia the state average is currently $29,000)
Depending on the range of services, experience, and education of the Wedding/Event Professional (Day of/Month of Coordinator, Partial/Full-service Planner, or Designer) you can expect to spend 10%, 15% or 20% of your total wedding costs on their services.
This means a qualified wedding professional's services may start at approximately $2,000 (Note: These Professionals and their teams may be spending anywhere from 20, 80, 200 hours or more of preparation work on your event)
Just like any of your wedding/event vendors most Coordinators, Planners, and Designers will require a deposit or retainer and provide you with terms or arrangements for final payment(s).

Our advise for anyone concerned about the cost of hiring a professional... start early! Give yourself enough time to not only book a Professional (and take advantage of their services and knowledge) but create a comfortable payment plan. "... and you do what?": Part III Partial vs Full-Service Planners

Now, in our last post, Part II "The Truth about Day of Coordination" (that's number 2 of our 4 part series) we talked a little about some of the popular misconceptions behind what a "Day of" Coordinator service offers and how to really determine if it's the right fit for you. You've taken a good, long look at your daily schedule. You've flipped through your calendar for the next 9 (or 10, or 14) months. You've gone over page after page of your Bridal Magazines, pictures, and notes. Most importantly, you've really looked at what (besides marrying the one you love of course) means the most to you and after some soul searching you've come to a few realizations. That...

You just don't have a lot of free time - Thanks to your job, school or, well, life.
You need a Pro's help with organizing and planning - You're just not that thrilled about the idea of juggling dozens and dozens (and dozens) of details.
You want your wedding to be personalized and as unique as you are - Perhaps you've got unconventional ideas, a have unusual venue, or maybe even a destination wedding in mind.
Your wedding date is rapidly approaching - You have soooo much to do and time is not your friend.
You just don't want the drama - Not from the planning process or your family... It's your special day. You'd rather relax, enjoy, and let someone else do the work.

In other words, you want more than what a "Day of" Coordinator can give you.

Ok, so you need more than "Day of" Coordination... what are some of your choices? Most people automatically think of a Full-Service Planner. You know, this is what Hollywood typically shows us when we say, "Wedding Planner". One of my personal favorites, for a good laugh, is Martin Shorts character from the 1991 film "Father of the Bride" but say the words here comes the take charge, whirl wind, over-the-top character you see in the movies or on TV. A high-energy (sometimes high-strung), uber focused, multitasking woman (or man) usually accompanied by a poor little assistance scurrying behind them, taking notes and desperately trying to keep up as they blow through the scene. Well, that makes for entertaining movie fun but the reality is just a little different.

The truth is Planners (Coordinators and so on) should never dominate "the scene" - the Bride and Groom are always the stars. Pros usually think of that 1st consultation as not just a time to review portfolios, service packages and pricing - it's also a chance to get to know each other, discover their personalities and (for me personally) hear their love story. Weddings are an emotional time and planning one is an intimate journey for a couple. Most of us (as Wedding Professionals) recognize how special it is to be asked to become a part of their love story and we often bond on many levels. That's why it's so important for a Bride and Groom to select a Professional that can not only "do the job" but can connect with them, after all, the Full-service Planning Process is a nearly year long relationship and you want them to be more than just Vendor.

In actuality the Full-service Planner is more like a Project Manager - a person that will report to you (the Bride and Groom) but will responsible for overseeing every last phase of the planning process and it's final execution. These Professionals usually has at least one assistant (if not a team) to help execute either various steps from scheduling and attending the first vendor meeting to the managing the "Day of" to the "Day after". After? Yes, after. These professional may see to follow-up tasks ranging from rental returns to executing the Farewell Brunch (the family brunch the next day prior to the Couple departing for their honeymoon).

Wooooh, I don't know if I need all of that. If you'd like something a little more involved than a "Day of" Coordinator but less involved than a Full-Services Planner then another option is the "Partial Planning Service". This type of service has become very popular over the years, especially with those who like the idea of being a "hands-on in their wedding planning but know they will need professional assistance to ensure their once-in-a-lifetime day will be as planned properly, looks polished, and feels fantastic. With Partial Planning service Brides and Grooms receive limited guidance (often via meetings, emails, or phone calls) to keep you and planning on track but you will be doing the majority leg work like scheduling appointments, attending Vendor meetings, and Budget management yourself. Think you'll need a little help planning out a seating chart or tracking RSVPs? Some Planning Pros offer customized Partial Planning services that offer additional "a la carte" or hourly assistance for various phases in the wedding planning process.

Partial Planner services may be a great way to get many of the benefits of a Full-service provider while saving a some money if you are well organized and willing to do the follow-up work. Now, which type of planning service is the best fit for you? Here are a few things to keep in mind about "Who offers what" when it comes to Partial Planning vs. Full-service Planning...

What "Partial Planners" will do:

Typically up to 80 hours of pre-wedding services
Provides advice and assist with developing ideas
Provides Preferred Vendors or suggested Vendor Referrals based on needs
Usually furnishes custom Checklists and updates on regular basis to keep you on track
Creates Event Timeline and Itineraries
May offer additional assistance on an hourly, a la carte, or custom package basis

What "Full-Service Planners" will do
(in addition to the above Partial Planning services, a Full-service Planner will also...)

Anywhere between 80 to 250 hours of pre-wedding services (depending on needs)
Assists in developing and managing budget
Assist in contract negotiations
Schedules and Attends Vendor meetings
Assist with Guest services including RSVP, Hotel Room Blocks, Seating Charts, etc.
Manages all Vendor Communications and Confirmations
Manages Wedding Rehearsal
Manages the wedding day including all vendors logistics

Some Full-service Planning Services also offer assistance with pre and post wedding day events such as Bridesmaids luncheon, Bridal Shower/Bachelorette Party, or Farewell Family Brunch. Remember, all services vary form Planning Service Provider to Planning Service Provider so check with them to find out what they offer and if these services are offered if you are interested in them.

"... and you do what?": Part II - The Truth about "Day of" Coordination

Did you comment on our last post? My earlier post, "...and you do what" Part I, was the introduction to this short four part series about Planning Profession's Titles, Roles and some of the misunderstanding (and confusion) that may come from different services. Today I wanted to chat a little about the assumptions (and well, down right myths) about the term and title "Day of" Coordinator. The general thought of many is, "I'm going to do all the planning myself so I just need a 'day of person', you know, someone for a few hours (maybe 2 or 3)... that's all."

And in theory that sounds good but let's take a few minutes and really think about what you are saying. For 9, 12 maybe even 14 months (or more) you have read dozens of Websites and Blogs, poured over page after page of Wedding Magazines, pound the pavement at Bridal Shows - researching and compiling (probably in an elaborate binder full of) notes, pictures, print outs, clippings, swatches, brochures, flyers, business cards, calendars, check lists, contracts, receipts, and so on. You have spent literally hundreds of hours after work, before work, during lunch breaks (and let's be honest probably during work), between school, friends, family/kids, and other personal responsibilities making calls, surfing the net, writing emails, scheduling appointments, completing projects and tackling the dozens of details in planning a wedding. You've spent time trying to find just the right ideas and items to reflect you, your personalities, your likes and even dislikes.

From budget management to seating charts and RSVPs, you have worked hard to put together a vision for your wedding. It's really hard to imagine someone (even a professional) who would swoop in for only 3 to 8 hours at the last minute and execute your plan with no prior preparation. Perhaps we should think of it this way, you've spent months and months (and months) creating your personal wedding plan and vision... it's your baby. You've spent 9 months (give or take) growing it from a few lovely ideas into what should be a fully developed plan and when the time comes to deliver it do you just show up at the hospital and expect someone to know all of your history, vision, wants, needs, preferences, anticipate your wishes in case something goes wrong (which is one of the primary reasons for having a Pro), etc.? Most people would not feel comfortable with that. They would like their own doctor or someone they feel knows them and how they would like things to go to take responsibility for the big moment. More importantly, they would like someone who would review the process with them beforehand. Double checking to make sure nothing was missed... that all the "t"s are crossed, all the "i"s are dotted and who will make sure they have all the information they will need to make everything is a success.

"But my venue already has a Coordinator, why should I hire someone else?" This is another thought that sounds good at first. After all, we adore Venue Pros! These Professionals work extremely hard to be a fantastic liaison between the Venue itself, the Bride & Groom and the Vendors. In fact, our own policy this is their (the Venue's) "house" and we (as Vendors) are only visiting - we communicate with them to make sure that we leave their "home" as we found it. And while most venues have some type of Coordinator on staff they are usually responsible for "Internal Coordination", that is, handling their business - coordinating their own facility, site set-up, maintenance issues and staffing requirements (including wait staff service if the venue is providing catering), and any specific vendor needs from the facility such as loading and storage requirements. They are not necessarily responsible for coordinating all of the Vendors, managing the entire Wedding Party's itinerary, or solving issues... in other words "External Coordination". Rentals delivered to the wrong location? Limo running late? Last minute change and the Florist isn't sure where to deliver the boutonnieres? Photographer gets into an accident? The Facilities Coordinator is usually not the one who takes the call. They are not the one who works with the Vendors to keep everything moving seamlessly behind the scenes so the Bride and Groom aren't even aware of issues... but your "Day of Coordinator" (and their team) does.

The truth is some Professional Coordinators are no longer calling this service "Day of" and are referring to it as what it really is... "Month of" service. Prior to the "day of" your Coordinator may have to putting in up to 25 hours of reviews, confirmations, scheduling, and other preparation work for the "Big Day". Often we find a lot of gaps that the Bride & Groom were simply not aware of or may have missed. These details may range from forgetting to address guest parking issues to (in one Bride's case) literally not having an Officiant booked days before the wedding. Most Professionals find it simply irresponsible to Coordinate a wedding without some type of preliminary consulting, review, and prep work. In other words, although it seems like most of the "work" a Coordinator does is primarily on the "day of" and the Bride is actually heading the pre-project conceptualizing and the "Day of Coordinator" is verifying and refining the plan to ensure all the elements are in place and ready for their execution.

So, what does a "Day of Coordinator" do and is it what you actually need?

Although "Day of Coordinating" service may generally vary from Coordinator to Coordinator you would typically expect the following "Does & Don'ts" from a "Day of" Service Professional.

What a Day of Coordinator "Does":

Meets with Bride (Groom, Client) 4 to 6 weeks prior for Planning review
Typically provides up to 25 hours of Pre-wedding Planning
Reviews Vendor Contracts and makes suggestion on missed services or details
Contacts and confirms service/product logistic plans with Vendors
Creates, presents and/or reviews Itineraries (and possible floor plans).
Final site walk-through (ceremony and reception site)
Typically (but not always) has at least one Assistant - depending on event size
Manages the rehearsal
Manages production of the wedding day

What a Day of Coordinator "Doesn't Do":

May not offer planning process advice and some may not provide Vendor referrals
May not provide assistance with managing the event budget
May not schedule or attend Vendors Meetings (including Tastings)
May not assist with special Guest Services (ex: Booking Accommodations)
May not assist with RSVPs or Seating Charts
May not assist with pre-wedding event planning/coordinating (ie: Bridal Shower, Bridesmaid's Luncheon, Rehearsal Dinner)
May not assist in post-wedding events (example: "Next Day" Family Brunch)

"...and you do what?": Part I (of 4)

Planner, Coordinator, Designer, Consultant... it all means the same thing right?

Not so fast. So often when meeting with Brides and Grooms (or Event Hosts) who are just becoming acquainted with the events and weddings industry we(Wedding Pros) find ourselves clarifying a few misnomers about the roles, responsibilities and the generally "who does what"s in the planning and production process. That's why I wanted to do this short (4 part) series entitled "...and you do what?". In it, I'll clarify some of what certain Event Professionals (such as Planners, Coordinators, and Designers) do.

Before diving into our first installment I'd like to ask you a questions. If a little kid asked you, "What does a Mechanic do?", would you feel comfortable describing the basics idea behind their job? Now, most of you probably just answered, "Yes, of course". And no surprise there, most adults have had to take a car to one (and for most of us probably more than once). We know what Mechanics and Repair People do because we see them somewhat regularly basis. They are services that fit into and we use throughout our everyday personal and professional lives.

We may not know each exact process, technique, training, tools, skills and so on involved in what they do but we do have an expectation of what will be done. We have a general understand of what their job entails, trust them to know what they are doing and to do it correctly. We do this so regularly in fact that we often just take what we know about their duties (such as which ones to go for which needs, who specializes in what, etc.) for granted. The same can be said about other professions like Hair Stylists, Food Service, Clothing Boutiques, etc. We run into these service providers hundreds of times in life. And although these services are far, far more customized, elaborate, specialized, and usually complex for a wedding we still have some idea of what these Professionals will be doing.

Ever been to a concert or a dance club before? Then you have some idea of the type of services a DJ or a Band may provide. Sure, it's more than just playing music, it's transitioning between activities, facilitating and communicating with your guests throughout the evening however, you also understand that it will be very different for a wedding environment and you will have to trust their expertise. And if you've ever had a "Bad Picture" taken at the DMV, in a class picture, or in a candid photo with some friends then you know what a "Great Photographer" could do for you. Again, you also know their services may require different equipment, assistants, and skills for capturing those "once in a lifetime" moments on camera.

So, maybe it's because large, structured events like weddings just don't happen every day. For most people wedding planning requires working with professionals and processes they've seldom deal on a daily basis. And with so many different professional titles like Wedding Planner, Consultant, Coordinator and Designer (all of which have slightly different responsibilities) there's often some misunderstandings about "who does what", who may provide the right service for the right needs, and confusion about their specific training, skills, duties, processes, techniques, etc.

Yes, most people may not run into Planning Professionals every day... or so you think. I believe it's the various "titles" and the romanticized idea of Parties and Weddings that are misleading. Say words "Wedding Planner" and images of glamorous parties, television shows, and funny little movie characters pop into most heads. However say, "Project Manager" and you'd have quite a different image (more in the next post). The truth is, these are two jobs that have similar duties and responsibilities but because of event industry terminology and the fact that weddings are (let's face it) such a fun occasion for the Client, the newly engaged may not see the similarities at first.

Next up we'll bust some myths, define the some roles, outline responsibilities, and help you start to identify which Event Pro may be the right fit for your needs when it comes to planning services starting with one of the most misunderstood... the "Day of Coordinator".

So, why do "Wedding Flowers" cost... so... much??

You walk into a local Florist's or Event Designer's shop. You glace around and find yourself surrounded by selves and tables adorned with dozens of lovely vases, props and charming decorative accents. Along one of the walls or perhaps nestled in the back of the room you may see a large display case... a cooler filled with an assortment of beautifully designed floral arrangements; sweet little round arrangements, classic red roses in 10" vase, happy little daisies in a fun, bright container, and so on. And you wonder, "So why do 'wedding' (or special event) flowers cost so much?" Unfortunately the common thought among consumers is that a business hears the word "wedding" and just automatically charge more... well, not exactly. While it's true that arrangements for weddings are more than "Everyday flowers" (more on that later) I'd like to share just a little insight as to what makes flowers for weddings and special events more expensive.

It's the same reason why you can go to one of your favorite restaurants, order a meal of Chicken Marsala with salad and drinks and pay anywhere from $20 to $30 per person (give or take) however, such a meal being catered for a reception could cost $50, $80 or more per person.

So, what ARE you really paying with Wedding and Event Flowers?

Let's consider that "dinner" we just talked about, better yet, think about that last time YOU cooked a big dinner for your family. How many people did you cook for? 3, 4 or maybe 5 people? Think about when you planned out the meal, looked up the recipes, and created ingredients and shopping lists. Think of the preparation time (peeling, chopping, etc), and actual cooking and baking time. Then, let's just assume you "go all out" and serve your family, you know, actually plate each meal and bring them to the table (no self-service). Now think about the clean-up after, not just the dinner dishes but all the prep dishes, pots, pans, and work areas including counter tops and the floors.

Ok, now, image cooking for 14 people instead of 4 or 5. How about 40, 140 or even 440 people...whew! What would you need to pull that off? How much extra help would you need to cook all those perfect meals as well as serve them impeccably and clean up afterwards? What type of equipment would you need? What if you were at a strange kitchen or a place that didn't have a kitchen? What would you have to prepare before heading to the location? How would you transport everything? Think of the cost of not just the actual food but the materials (including warming trays, plates, glasses, linens, etc.), special equipment, extra staff, transportation, and, of course, your own precious hard work and time... what would be the cost? The truth is things tend to become more complicated when done in large quantity and the more complicated things get, the more costly they become - especially if its to be done exceptionally well.

So, back to that Florist shop you walked into earlier. Those flowers you saw in the cooler? Those were more than likely "Everyday Flowers", the type of flowers you walk in off the street and pick-up on a whim. Most standard florist shops will aways have some kind of Everyday, Seasonal or Occasion Flowers... you know, Mother's Day, Thanksgiving, etc on display. Seeing those flowers can be a little misleading. You only saw one maybe two of a single "Everyday" Floral Design sitting in those cases. Just keep in mind those arrangements may have been...

Made and sold in the shop one at a time
Made to order in the shop with available staff and blooms
Made to order in the shop with available staff and special ordered blooms
Made days (and days) ago and kept in a cooler for walk-in customers

These Everyday Flowers tend to be pretty standard designs and a little different than the specialty floral designs typically seen in weddings or special events which often uses different structural materials and event rental items. When you are ordering custom-made Bridal Flowers, Ceremony Flowers (Alter Arrangements, Aisle or Pew Markers, etc), Cocktail/Reception Flowers, and more you are actually ordering and paying for more than just a standard product - you are hiring some very specialized services for your event.

Here are just a few (5) reasons why a floral or event design business may charge what they do for Wedding or Event Flowers:

1. Product and Materials:

Yes, this refers to the actual flowers but it also includes professional floral chemicals, tools, rented pieces, and production equipment (not including operations equipment like Flower Coolers). Many of these materials are used in the flower care and processing stages (things I discussed in an earlier blog post "It's Alive"). I personally like to think of flowers as a "living Art medium" and the beauty can quickly fade if they become sick or mistreated. And what happens if a supplier can't provide the right flowers, Customs damages them during import at the airport, they pick-up a fungus or they are delayed in transit to the Florist and die? Your Floral Designer finds solutions, fixes the problem and fulfills service... plain and simple.

2. Mass Production and Labor:

Prepping flowers and making dozens of custom floral design such as bouquets, boutonnieres, corsages, arrangements, etc. for a designated production schedule is very different from completing a single design order. Many Floral Designers have professional training and/or years of experience so they can handle event production however, there may be situation where they have other projects, events, or operate a store front with daily walk-in customers and in such cases bringing in the proper staffing may be essential for producing designs for your event.

3. Storage and Transportation:

After those exquisite flowers arrive, have been processed or have been placed into lovely floral designs they will need to be properly stored (typically in cool, control temperature environments) and then transported. And in the case of weddings that may mean scheduling and delivery to multiple locations; bouquets brought to the Bride's and Bridesmaids' location, boutonnieres to the Groom's and Groomsmen's location, arrangements and aisle decor at the ceremony site and, of course, centerpieces and other decor to the reception site.

4. Installation:

Once delivered (depending on how elaborate) rentals and floral design items may need to be assembled on-site or set-up on alters, pews, hallways, guest tables, cake tables, etc. Later the Floral Designer or their staff will work with the venue(s) to schedule their breakdown and removal.

5. Hobby vs. Job:

It's not lost on me that I (and others like me) are extremely blessed to love what we do and do what we love. But I'll also be the first to tell you we are not here by accident. Sure, I may have started off my career in Fine Art, Museums, Entertainment, Tourism, Communications, and Marketing but I fell in love with and have committed myself to this work. We (Event & Floral Designers) have dedicated ourselves to hundreds of hours of study, training, and experience all to craft our skills, abilities and knowledge into an Art (no pun intended). I value each and every one of our Clients. Their events are immensely important me and I fully understand what this (a moment they may never relive again) is to them. It's that "scene of importance" that is why they have hired a Professional. And yes, we are Professionals. This is my job, a job I love but it is still my job. It is how we have chosen to make a living - how we pay our mortgages, feed our children, pay our bills, and so on. We work hard and, just like anyone who works, we expect to be paid for our time and hard work.

Now there are more reasons why Wedding Flowers may cost what they do but the bottom line is as Professionals we do indeed take your event (and what we do) very seriously and provide all the necessary elements required to create your designs with amazing "living materials". I know the Clients who hire us value us - they value me, my staff, and the quality of the work we do.

Here's a little insight in our design philosophy. Event Design is not just about centerpieces or even tabletop design but the entire environment and visual experience your guests will have in relation to the event's (or Bride & Groom's) theme, style, and personality. Often people spend so much time on what goes on the middle of the table that they forget to simply step back from table. Remember, your guests will not spend the whole evening looking at the middle of the table. Consider the room's layout and area's that will draw guest's attention.

Think of it this way, you spent a good about of time tasting and selecting just the right cake. You've chosen the perfect cake topper or have asked your florist to provide some exquisite fresh blooms to decorate your cake. Soon the big moment arrives. The entire crowd gathers and photographers (both professional and amateur) are poised for the exciting moment. This is no longer just a table... this area has become a "Focal Point" and it's a flashpoint of the evening. You do not want this stunning cake plopped on a plain, stark white table cloth or (as one of our Vendor Colleagues shared with me about another wedding) the Bride & Groom cutting their cake with a circuit box in full view behind them. Not the best photo op.

Areas like the Cake Table can quickly become areas to engage your guests or key photo opportunities throughout the evening. These "Focal Points" could effect the overall look, feel, flow and design of the room. I personally love chatting with Clients about these Focal Points - it's a wonderful chance to create a memorable experience (and maybe give guests a little extra "WOW") with just a little creativity. Even if a Client's design budget is tight or if they've only opted to have runners or inexpensive overlays on their table top I always bring different Focal Point options to their attention. Sometimes it's as simple as considering the investment of just a few beautiful Specialty Linens like Pintuck, Crushed Taffeta, Sequin, Damask, Beaded, Ribbon, Brocade, etc. to add visual emphasis to the tables or area's design.

Also consider a "Statement Display" such as Larger Floral Arrangement, Floral Sculpture, Ice Sculpture, Wish Tree, Backdrops, Props, etc. We recommend the following key tables as possible Focal Point areas:

Cake Table
Gift Table
Escort Card Table
Head or Sweetheart Table
Specialty Services Table (ie: Candy Buffet or Dessert Bar)

Dressing up these 3 to 5 tables (or those custom designated areas) transforms them into Focal Points that will heighten the experience and add to the design of the room.

Focal Points are not limited to tables. They may also include Lounge Areas, Entertainment Areas (ex: Photobooths), Food Stations (like the newly popular gourmet "food truck" or street food-style cuisine), or any variety of creative and interactive activities you'd like to have your guests experience during your event. Remember, in the end, when it comes to your event's design it's all about everyone (yourself included) emerging into the world and memories your are creating.

Reflections... 10 years ago today

One of our core philosophies at Vivid Expressions LLC is "Celebrating the blessings of love, marriage, family, and friendship in all of life's occasions." It is not lost on us how precious these values are today as our nation remembers the 10 Anniversary of September 11th, 2001. Life is always in a state of change - sometimes growth, others pain, other times peace and even joy. So many lives were changed that day.

My story? Like many, I watched and in awe and uncertainty. Wondering what was going on, what to do and later how I could help. My life is much different today. A world away from those days of holding down more than one job. Freelance Fine Arts, Animation and Marketing work on the sides and a full-time Trainer for a contractor for (at the time) the nation's largest telecommunications in their high-speed technologies division. I and the other members of our Training time was responsible to distributing updated training to the sales floor of nearly 300 representatives that day when the news unfolded throughout the morning. I remained (as usual) positive, encouraging, energetic and focused on the task at hand to our reps however, inside I was felt the same disbelief and worry that we all did. My heart when out to those in New York. I wondered about the plane that went down in Pennsylvania and I thought about, prayed about and worried about family and friends in DC. I, like everyone else that day, know our world had changed forever.

Today I recognize how blessed I am and how strong we are as a nation. I'm grateful, proud and will never forget the loss and the heroes of that day.

Today I'd like to do a little something different...

Art Comes to Life: Old Dominion University Wedding, Part II

In a recent post we shared a few highlights from the fabulous wedding for our "Old Dominion University" couple. Yep, this DC couple wanted to exchange their vows at the same college campus where they met and fell in love. We were hired to plan, design and coordinate their fantastic ceremony and "glam-tastic"wedding reception. In the earlier post (Part I) we shared images from the university's campus ceremony.

Immediately following the ceremony the reception took place at the Virginia Beach Convention Center. For the reception the Bride & Groom did something we love, they just told us what things that they liked and gave us creative license to "make something beautiful"... and so we did! The Bride requested damask, crystals, branches, and calla lily so we presented design sketches (and emailed them to them in a slide format). From a fun contemporary room layout to custom designed lounge area with dozens of floating glass orbs with candles and more... we custom created flowers and decor. The final results were beyond their expectations! Enjoy these images for what I like to call "Part II... the Reception!"

Behind the Design: Are you into the group thing?

Have you considered the "grouping thing" for your event? Um, no, I mean Grouped Centerpiece Designs. Grouped Centerpieces or “Groupings” are a little different from "Trio Centerpieces" (which we talked about in one of our much earlier blogs) where 3 of the same designs are repeated on a signal table. Groupings are two, three or more small, minimalist design, or individual designs (usually in varying heights) placed together very closely (as one) on a table.

Groupings work well on different table shape (like the center of a square table, a round table, or down the middle of a long table) and complement a number of design styles. For example, groupings can be created out of a whimsical eclectic collection of different decorative pieces or a quaint cozy group of rustic "take-away" arrangements for guests or a robust, dramatic group of glamorous over-the-top elements.

What makes a Grouping such an interesting design? Variety! Instead one shape at a signal height to focus on, your eye is forced to move across the Grouping – with its multiple shapes and/or at varying heights. But not repeating the same elements over and over again does not create a successful Grouping design. The key to a good Grouping is “unifying all the design elements”. The items of the Grouping should have something in common, something that makes them look as if they "belong together", complement each other, or must be comprised of a least one of the same elements (ie: color, texture, material, style, theme, etc.). Take a look at some of these following Groupings. Notice what the elements of the designs have in common (color, theme, type, etc.) and how they differ… enjoy!

Revisiting: How your event can to survive a Hurricane!

With all the talk about Hurricane Irene approaching the East Coast this weekend I, like many others, are thinking about all the events scheduled this weekend. Personally, I find myself thinking of how I felt during those days leading up to my own wedding which took place just 2 days after Hurricane Isabel devastated our area. It was Thursday, September 18, 2003 when Isabel swept through the Virginia and by Friday morning 2/3 the state had no power, finding an operational gas station was difficult, businesses like the Tux shop, hair salons and reception venues were damaged or even closed, communications with family, friends and vendors became a challenge, and so on. Yet, with all these obstacles I was still able to have a simply lovely wedding day.

Now I can't help but think about all the Brides & Grooms getting married this weekend and how the normal butterflies in your stomach may be rapidly multiplying with the anticipation of this storm. So, How to have a fabulous wedding when the Governor issues a "State of Emergency"? Let me share our top 3 tips to a successful wedding despite the challenges... maybe even a Hurricane:

1.) Review and Re-Organize:

Sit down with your Wedding Consultant or Coordinator and review all of your Vendor Contracts for Cancellation, Refund, "Rain call" (the last possible day/hour you may change site set-up), "Acts of God" and other contract service fulfilment policies. Odds are your Pro will have already considered all of these factors as well as Contingency Plans for your "Big Day" and will more than likely have an Action Plan in the works for your review. If you don't have a professional Coordinator or are relying on the Venue's Coordinator for your wedding then you'll have to review all the policy deals of each Vendor's Contract. Remember, it's vital for you to be aware of is all these details as well as updating all Contingency Plans, Contact Lists, Checklists, and Timeline. If you'll be handling vendor management for your wedding make copies of all these materials and keep them on hand for the days to come.

2.) Perfect Professionals:

No mater how well you plan and try to foresee potential problems new concerns always pop up and that’s o.k. - that's why you've hired professionals! This is why you spent the time and money to research and bring in true wedding industry professionals and there is a reason why your Wedding Pros ARE PROS! You've already hired the perfect team of Professionals to meet your wedding needs so trust them. They have the resource, skills, experience and knowledge to think "outside the box" and offer solutions in a pinch. Keep an open-mind, don't be afraid to ask questions, be open to change and look to the expertise of your Wedding Professionals to offer options and solutions if problems arise no mater how big or small.

3.) Calm and Communication:

Having great communication will be key to all the hundreds of pieces of your event coming together seamlessly to create a wonderful experience. Part of your Wedding Coordinator's duties will be contacting, communicating, and facilitating the logistics of vendor services so you don't have to but what about your Bridal Party, Family and Friends? If there are last minute chances it may also be helpful for you and your Bridal Party (or maybe even your Coordinator depending on the type of service you have with them) to reach out to others. In cases of an emergency having an updated Phone Lists of your Wedding Party Members, Wedding Guests and Vendors available to forward to your Bridesmaids and Groomsmen may be useful just in case you need to start a phone tree.

Bonus Tip!! Positivity and Prescriptive:

Forget the old saying "What can go wrong, will go wrong." Instead, be positive. You can’t control everything so just trust that "What can go right, will go right". Know that your Friends, Family and Professionals will do what ever they can to create a successful day for you. Remember to have a good sense of humor, be thankful for your support team, trust the Pros you’ve chosen to work with, and remember what’s really important... At the end of the day you are marrying the one you love! Everything else is just icing on the wedding cake!

Now keep in mind these are just 3 tips and are not the only things you'll need to turn "disaster into delight" but there are sooo many more keep steps to "surviving disaster" during your special event. If have any questions you'd like to share don't hesitate to drop us a line!

Art Comes to Life: Old Dominion University Wedding, Part I

Where did you meet the "love of your life"? Where did you fall in love? For one of your recent Bridal Couple, Sharron & Christopher (who now live in Washington, DC), they first met and fell in love on the campus of Old Dominion University in Norfolk, Virginia. So it was important for them to make this location a part of their special day. They thought it would be a unique idea to come back down to the Hampton Roads area and have the ceremony on the University's campus.

During our first meeting they told me that they wanted to use black, white and a touch of mint in their colors. They also liked Calla Lilly, Damask, and Branches but wasn't exactly sure how to put it all together. Of course this was not a problem, after all, this is one of the many reasons to hire a professional Event Designer. We helped to cohesively create a vision and bring it to life.

I asked them one of my personal favorite questions, "If you had to pick a movie, book or television show that represents you or your style what would it be?" The response? The Bride said, "Sex & The City" while the Groom said, "Ocean's 11". A few more creative questions we were able to identify their personalities, likes, dislikes, possible themes and style.

We later developed a few custom designed concept illustrations and (for their convenience) compiled them into a slideshow which we emailed to them for their review... THEY LOVED WHAT WE CAME UP WITH! Well, we (here on the East Coast) are experiencing one of the hottest weekends of the year. I hope you and your loved ones are staying cool and safe - especially those of you who are celebrating with weddings today. If you feel like you're "melting, melting" in this heat just imagine how flowers are feeling today, after all... they're alive too!

This sweltering summer weather will pose a unique problem for many DIY (Do it yourself) Brides. Particularly those Brides who have spent a great deal of precious time and money (perhaps even hundreds) to try to create their own fresh flowers Bouquets, Centerpieces, Ceremony decorations, etc. that may now find themselves faced with flowers in distress. Oh don't get me wrong, there are so many of cases where delicate, utterly lovely flower petals are simply enchanting in a wedding design but having your fresh flowers wilt, discolor, brown or even fall apart in the hands of your bridal party when you simply wanted to save a few dollars is probably not what you had in mind.

The Problem:
"But it looks so easy in the bridal magazine or blog" you say? Yes, of course magazines and blogs are chocked full of wonderful information, exciting inspiration and fun project suggestions. And if you were looking for creative little projects with flowers to try something new, express yourself, and have a little fun (or perhaps even saving a little money) I'm all for the experience. The concern? Well, odds are you're probably no doing just 1 project for a wedding or special event. Not just 1 centerpiece but 9, 12, 15 or even 20 centerpieces which means 9, 12, 15, or 20 small projects involving fresh flowers. And that's not including your Bouquet, your "Tossing Bouquet", the 3, 5 or 7 (each) Bridesmaid's Bouquets, Boutonnieres, Corsages, etc. Also, you'll probably be on a pretty time sensitive schedule and you're probably not equipped with the professional equipment, chemicals or space for the care, storage and transportation requirements needed for the more complex designs. There's a bit of a difference between a small, simple "let's try it and see" home floral project that's meant for you to enjoy at your leisure and "once-in-a-lifetime" event fresh flower projects that you don't want to waste money doing and... let's face it, you definitely want to get right.

The Solution:
I'd suggest working "with" your Event Pro to get creative! Talk to the Florist, Event Designer, or Planner you've hired for your special day. Remember earlier when I said Flowers are "alive"... yes, it's true. Cut flowers are still alive and many varieties are like people... they each have their own distinctive quirks.

Flower Professionals know the proper care, chemicals, special techniques, and treatments used to extend the life of your flowers. Yes indeed, your Pros know. They know which flowers are heavy drinkers and which flowers can hang tough. They know which flowers are in season and which flowers will give you the most visual bang for your buck. They know how to deal with a certain popular flower that has a troublesome stamen that will stain your fingers and clothes with the slightest touch if not processed properly. They know which flower's stem (one of my personal spring favorites) will continue to keep growing even after they have been cut and placed in a bouquet or arrangement - which if not dealt with properly will change the look and form of the design on the "day of". They know which flowers are sensitive to heat, other flowers, ethylene, and more.

Let your Wedding Florist, Designer, or Planner know you'd like to work on a "DIY project" and see if they'd be able to suggest, consult and guide you through a few simple projects. Perhaps a non-floral project with non-perishable materials or items that you can rent from them - no fuss, no muss yet very satisfying.

Simple Soothing Summer Solutions

Ah, Summertime. The shimmering Sun, the fragrant fresh produce, and the heat... oh, yes the heat. As much as I love chatting about events and design I believe it's hard to feed the soul without refreshing the body. Creativity thrives off of balance so here's a few simple (and oh so cool) recipes for dinner and drinks.

Simply Peach Sangria
A crisp, light twist to a summer favorite!

Slice citric fruit (1/2 medium Orange, 1/2 small lemon and 1/2 small lime and place in a large pitcher. Sprinkle in a 1/4 to 1/3 cup of sugar (or splenda) and mix together in pitcher with a wooden spoon until citric juices are mixed with the sweetener. Set aside. Slice 2 to 3 ripe peaches and 1 pear (and 1 star fruit - optional). We love to also add a sprig of julienned mint. Add fruit and mint to the pitcher and muddle slightly with the wooden spoon. Now add 2 bottles of light-bodied white wine - Our favorite is a Riesling or a nice Pino. Chill for at least 4 hours but overnight is best... enjoy!

So Nice with Ice!

Quick, easy and stylish way to endulge in sensational sips!

Freeze a small amount of your favorite juice (Mango, Pineapple, Pomegranate, Cherry, etc.) in an ice tray. Drop a cube (or two) in a Champagne or other tall glass and pour your favorite Champagne (I personally love a good Perscio or Spumante), sparkling water, or sparkling cider... enjoy!

Simply, Soothing "Summer Gazpacho"

Have you ever tried a cold soup? On a sweltering summer day this make ahead delight that's sooo refreshing!

6 ripe tomatoes (peeled and chopped)

1 purple onion (finely chopped)

1 cucumber (peeled, seeded and chopped)

1 sweet red bell pepper (seeded and chopped)

1 tbsp chopped parsley

1 - 2 cloves of garlic (mined - raw garlic is fine but roasted is preferred)

1/4 cup red wine vinegar

1/4 cup extra virgin olive oil

1 tbsp sugar (or splenda)

1 to 2 teaspoons of Worcestershire sauce

4 cups tomato juice

squeeze of lemon to taste (1 to 2 teaspoons)

salt and pepper (preferably white pepper) to taste

Note: You may also add a little Tabasco sauce to taste a little zing!

Combine ingredients in a blender and blend slightly - until it reaches desired smoothness. Transfer to a container and allow to chill in the refrigerator for at least 4 hours. This soup can also be made a day before - in fact, it's best when the flavors are allowed to blend overnight. Serve with some nice crusty bread or (to make it really endulgent) some cooked, cold "peel & eat" shrimp... enjoy!!

Urban Art & Romance: Could this be a trend?

No surprise how much I loooooooove this!! As you may know our mission at Vivid Expressions has always been to incorporate "Art" into "Special Events" but this creative emerging trend just makes me smile... artful, imaginative, and uber cool Urban Art proposal! In the last few days I (and thousands and thousands of others) have seen these 2 Urban Artists create vibrant murals to woe their beloved into marrying them. Maybe that's the street she walks ever day to work or Scabble, cherry blossoms or the puppy must be important to the couple but using art and Artists (in a proposal, ceremony, reception, cocktail party, etc.) allows you to incorporate themes and concepts that are signifigent to the host. Enjoy these two examples of Urban Artists helping to create unforgettable marriage proposal that have occured in just a mater of the last few days.

Behind the Design/Design 101: Color Theories Pt 3

As an Artist I looooove color (as if you didn't know). Well, I do. Almost as much as I love working with Brides, Grooms, and other Clients who are open to working with color. I find that one of the reasons some people shy away from using multiple color combinations in their events is that they are afraid of it looking too bright, overdone or even "circus-like". Have no fear! Done with the proper techiques, using more than one color will not end with a rainbow explosion. If you are comfortable with the science and theories color it isn't a problem. I guess that's why I started this series.

Today I'm continuing with another installment of our on-going Educational design Posts - "Behind the Design/Design 101". Over the past few weeks we've explored the concepts behind certain Color Theories. Specifically we looked into a few ideas, the psychology and yes, the science behind some very basic Color Harmonies like Monochromatic and Complementary design color palette selections. Well, now it's time to discuss my personal favorite (and admittedly "Go to") of the very basic Color Harmonies... Analogous.

Using this harmony will incorporate multiple colors in a way that will convey a feeling of smooth, flowing transition. It, just like the other color harmonies, begins with the Color Wheel. Analogous colors schemes are simply up to 4 colors next to each other on the Color Wheel. Start with one color and then select up to 4 colors in a row (or in this case in a curve) on the wheel. Now, there are tons of Art & Design tricks and techniques to create a wide range of difference styles, feeling, etc. For example; a dramatic look may be achieved by changing the intensity of some colors (tint and tone as discussed in Monochromatic hues). Take a look at some tablescapes below done in analogous colors... enjoy!!

Peak inside our process: Style vs. Theme

So, while remarking on the gown worn by the newly wedded Duchess of Cambridge (a.k.a. Kate Middleton) someone said, "I thought it [the gown] was going to be a little more glamorous". Now considering that the Queen of England (her new Mother-in-law) is the head of the Church of England, the etiquette and the style of the occasion (a formal, high-noon church wedding) the drama, flash and bling of a "Glamorous" look just wouldn't have been appropriate. This got me thinking about the roles that "Style and Theme" play in the Wedding or Special Event Design process.

There are a lot of my favorite Planner/Designer colleagues who know how to design beautifully. They know how to create a flawless, consistent and streamline look for their Clients. Their skills and experience come through in every event they create. When I conduct a Design Consultation with a Client I like to take them through a few exercises that I've developed to help us both understand their "Style" as well as any "theme" that may come into play.

Unfortunately, it seems like there's a number of Planners/Designers out there that don't practice this step or have any kind of design structure that takes these concepts in mind. I've noticed a few mis-matched styles desperately (and usually randomly) tossed together with the Theme being the only thing in common. This is done in hopes that the "Theme" would somehow tie everything together. More often than not the result is a slightly off to overwhelmingly disjointed look. An interesting look but lacking a since of linear flow and visual consistency.

Here's the problem.

If you create an overall event design look with a theme but do not take the time to identify and develop a structure involving the actual style, the look is usually not cohesive. With lost of interesting but varying components, the overall look is as if several different parties (with a lot of nice elements) just "crashed together". A bit of a visual mess.

The solution...

Develop an event design and concept using your Theme and Style in mind. Let's start by understanding what a Theme is and then identifying Style.

What is Theme? Well, Theme is easy - It's the broad concept, message or idea of the event. In Event Design, Theme is the "message" or "idea" that will be carried throughout the look and feel of the event. It may be a signal topic, season, element, destination, Holiday, etc. Themes can range from subtle to over the top and there are literally hundreds of Themes to choose from; Winter Wonderland, Alice in Wonderland, Beach or Tropical, Hollywood Glamour, English Garden, so on and so on.

Now for Style. Funny, Style is one of those words that almost everyone has used but very few understand a formal definition of. Style is the artistic category, prevailing mode, aestheic value and/or structural composition in which an idea is carried. It can also refer to the phystical techniques used. It's what I consider to be one of the key developmental steps that some miss during the event design process. Style is the vehicle in which your theme will be delivered. The type of materials, flowers, accents, fabrics colors, etc. can all reflect the Style. In Design there are generally 7 distinct Styles. The type of materials, flowers, fabrics, accents, etc used can all create convey a specific "Style" as it presents a theme. Depending on the type of event, like that of a wedding, we may have to merge more than one style. Here are just a few examples of the same "Theme" (Tropical) reflected in a few different "Styles" ranging from Modern to Eclectic.

Behind the Design (Design 101): Color Harmonies Pt II - Complementary

Ok, so you thought a Monochromatic Color Scheme was easy (and yah, it is). Once you understand the depth and drama that a range of "tints" and "tones" can create (two terms that can play a part in every color harmony... more on that later) you'll never look at a "______ and White" as a color scheme, wedding colors or party decor the same way again. Great! Then you're ready for another popular color combo concept... Complementary Color.

Again, this is such a simple Color Harmony that can so easily go wrong if you don't understand how color really works . So, here's the basics. Selecting a Complementary Color scheme starts, as most do, with a Color Wheel (see below). Start with one color and look directly across the wheel to find the color which is opposite from it and "Voila!" You have your Complementary Colors. Now, if you look around you've probably seen together before. Think about it, right around the Holiday season. Red and Green are directly across from each other on the color wheel. Historically "Purple and Gold" have been used to depict Royalty. Slide slightly over a little more on the wheel and you have "Plum and Sage"... and so on.
Easy right? Ok, now here's were many people go wrong. Most people only look for those "Two Colors" however, they don't consider the multiple tints and tones they could use to create a more polished or professional look. They simply pick the two colors and use them (the exact colors) together throughout the design. Unfortunately, if not done just right the result is a very flat feel.

Unless the design specifically requires a stark, crisp contrast consider using a slight variation of the colors in lighter and darker shades. This will add more visual interest to designs. Let's look at this great example. Look at the tablescape below. It's the old standard of "Red and Green" however, the "Red" takes the form of a tint of "Pink". Also, take a look at the subtle variation in the shades of Green in the Chair cover and the table overlays.

Did you also notice the different tints of pink in the overlay flowers and place setting too? Notice how the layering of colors adds a richer, more lush feel? Bride's Reception Quesitons: Place Card vs Escort Card

I recently had a consulting session with one of our simply fantastic Brides. She was so excited to chat with me and learn about the many options to choose from for the layout of her up-coming wedding reception. I was later told by her Fiance that "HE" was looking forward to my session with her because I put her mind at ease and she always feels better afterwards. So, what was the big concern? Seating the Guests.

Seating Charts and Place Cards have been a traditional way to direct Guests to where in the reception hall they'll be experiencing the Couple's wedding reception. These "Cards" or Seating Charts can also be helpful to Catering Staff when identifying and serving Guests with specific dinning needs. For example; perhaps a Guest has dietary restrictions or you are having a Plated Dinner where Guests have selected a particular meal like Chicken or Fish.

This topic can be a tricky one for some Brides & Grooms. After all, there's a lot of family members and friends (and of course their personalities) to keep in mind. Who should sit with whom? Should you encourage new family members to meet? Should you sit friends who know each other together? And you know Cousin Pat doesn't get along with Aunt Betty... where should they sit? Then once you've decided which 8 to 10 people will sit at which table, then comes the detail of deciding exactly where they sit and next to who? Decisions, decisions, decisions.

Brides can refer to the guidance of their Planner or use other planning aids to assist in the logistics of these tasks. In the past few years many couples have also embraced the options of Escort Cards. While both Place Cards and Escort Cards feature the name of Guests they each have slightly difference purposes and benefits. Which one may work best for you? Compare the differences between the two:

Place Cards: Usually a small card (sometimes held in a decorative holder) with an individual Guest's name placed at the place setting at the Guest's table. Place Cards convey a formal element. Guests often feel as if the Host (Bride and Groom) have thought specifically about them - as if it's like a personal "Welcome, please have a seat".

Escort Cards: This is a little more informal yet still a delightful way to convey a scene of elegance. Cards that identify a Guest's Name and their table are displayed before the Guests enter the reception hall. Guests then find their card and carry it with them to their table. Guests then seat themselves where they feel comfortable at the table. A benefit of Escort Cards will be the reduced step of determining exactly who sits next to whom while still insuring that the right Guests sit together. It also offers another design option for the look of the wedding. Many Brides and Event Designers take advantage of creating an additional focal point out of where the Escort Cards are displayed.

Consider the look, the feeling and style of your wedding when choosing how to seat your Guests.

Behind the Design / Design 101: Color Harmonies - Monochromantic

Greetings to you. Over the last few weekends this blog has been more about updates and Bridal events. And although we are delighted to post such fun and information happenings I feel it's time to share some more creative, constructive and design-worthy knowledge. Today I'm going back to basics, back to my expertise and back to what I love... Art and Design.

So often I speak with Brides who immediately say upon meeting for a Design Consultation "my colors are ______ and white" or "______ & silver". Now, if you have colors, themes, or ideas in mind by all means let us (your Designer or Planner) know. I have to admit when I hear these words, from a design perspective, what the Client is really saying is "I've chosen one color and a neutral". And there's nothing wrong with that. I usually then find myself helping them dig a little deeper to identify"Why?"

Most people don't think of Color as a science. Sure they recall the colors of the rainbow, the acronym "Roy G. Biv" from science class or the image of the Colorwheel but "Color Theory" is an actual artistic discipline based in both science and psychology. "But Janel", you say, "I really like Purple and Silver" or "Blue and White". And if that's what you want you will definitely have it but as we move forward with your Event or Floral Design I also want us to consider the psychology of design and look at the "Purple" as being presented well with the silver (a variation in the gray family) which is a neutral.

Sometimes Brides confess they chose the "Color" because it's one of their favorites and the neutral because they just want it to "Match". Ok, now being afraid of "mis-matching" or only trying to "match" colors with a neutral is one of the big mistakes I see. Carrying swatches around and trying to make sure every flower, linen, and accessory matches that color exactly can often result in a flat look and limited color spectrum (even if you use satin or shimmer materials). Remember, the slightest variation in color can make subtle yet alluring impact.

So, here's the trick to creating a rich, compelling color using "_______ and a neutral" or only one color with no neutral (a personal favorite). The key is not to worry about "Matching a Color", the key is to "Match Hues, Tints & Tones". I pull out my colorwheel and happily share with the eager Bride one of the simplest and most effective color harmonies... Monochromatic. Simply put, you select a signal color and then add white to make it lighter (this is known as tint) and/or add black to it to make the color darker (a darker shade or tone of the same color). It is the exact same color, just different versions of it. Be careful not to use a different or similar colors to your design (this is something different that I'll touch on another time) but the same color in different tints and tones along with a neutral. This will create a single color used with a range of depth, brightness and an unforgettable feel.

Etiquette Quiz: Plated Dinner

Are you ready? It's Quiz time!! Take a quick quiz on event dining etiquette.

Imagine you are attending (or you've chosen to offer guests) an event or wedding with a "Plated dinner". How will your Waiter/Server know when you have finished each course and are ready for the plate to be removed?

A.) When all the food has been eaten from that course

B.) When their utensils are placed horizontally (at 3 o'clock) on the plate

C.) When their utensils are placed crossing each other on the plate

D.) When the guest covers the plate with their napkin

E.) When the Waiter/Server asks if they are finished and for permission to remove the plate

Dinning Trends:
Although, Brides & Grooms still choose to offer guests a Buffet Dinner Reception there is just something so sophisticated about a Plated Dinner. A popular option for many Brides and Grooms (and Party Hosts) are Food Stations (on-the-spot food service of specialty menu items) and Passed Food Service (appetizers being passed by Servers in a Cocktail atmosphere) along with a Plated Dinner. Consider speaking with your Planner, Caterer or Catering Manager about incorporating these options into your reception.

Now, on to that Waiter or Server wondering if you are done with that course. The answer is "B". When you are done with a particular course simply place the utensils horizontally along the side of the plate at the "3 o'clock" position of the plate. You Waiter will probably still ask if you are finished but this should be the signal to them that you are done with this course or coffee and/or dessert. How'd you do? Have fun with the delicious process of planning your reception... Bon Appetite!

Vivid Expressions at Vow 2011!!

It was such a pleasure meeting so many simply lovely Brides & Grooms after this weekend's stunning 2011 Vow Magazine Bridal Event. The Bridal Event took place last Sunday at the Virginia Beach Convention Center. Our booth created an enchanting element (and a bit of a buzz) as vendors and visitors alike were drawn to the warm, magical pink glow of the lighting form our booth. An enormous Birdcage stood in the middle of the Vivid Expressions booth featuring a romantic sweetheart table and natural wood colored Chavari Chairs.

The soft and elegant tablescape consisted of cascading mint green fabric dancing with ribbons of pink, blue and gold. Artful glass apothecary jars showcased soft colored Calla lilies, Snapdragons, Tulips, and other delicate flowers. The most dramatic element of the tablescape design was Event Art including copper placecard holders, copper plaques, hand-sculpted clay Roses & Calla Lillies and our signature a fresh flower Sculpture of a Peacock floating near the back of the table. Nearly 100 excited couples visited our booth and signed up to visit our Event Design Studio-gallery this Saturday during our "Winter Bridal Open House".

Getting the Venue & Vendors you really want (Part II)

So, their website stole your heart, they swept you off your feet at a Bridal Show, and you are in love, love, love with a particular Venue or Vendor.... now what? In my last post I shared that fact that when it comes to getting the Venue and Vendors your really want the "early Bride" has the advantage. I wrote about why starting a conversation with the Venue and Vendors you REALLY, REALLY want as soon as possible can REALLY, REALLY pay off. Well, now that you know how important it is to start talking to those Vendors you are smitten with as soon as you can about your wedding I wanted to follow-up by sharing how to best prepare to start that conversation.

There are a few things we (as Vendors) will need to know right of the bat in order to better determine how we can help you. I know, this sounds a little strange - after all, you know what you need for your wedding... right? Well, if you are in the first stages of the planning process and are a little anxious about where to start here are a few things you will need to determine and be prepared to discuss as you first begin chatting with a Vendor.

The first step will be to understand and crunch the numbers! There are 3 numbers in particular... establish your:

1. Wedding Date: If you have a specific date in mind that is special to you by all means select that date. However, when you and your Fiance are in the midst of considering different times of year, significant moments in your lives, or sentimental seasons take a moment to consider that the best way to ensure you'll book the Venue and Vendors you really want is to give yourself plenty of time. Most Brides and Grooms set their wedding date between 10 months to 1 year in advance - although, I've even seen some couples setting a date for up to 18 months out. Remember, the more time you have to plan, the more options you will have available to you.

2. Your Approximate Number of Guests: Be prepared... this is a number that will fluctuate. Very rarely does a couple say they will have 100 guests or 200 guests and actually end up sending out that many invitations or certainly have that exact number of guests attend the wedding. On the other, this number is extremely important because it will help you determine the right Venue to accommodate you and/or the costs of a myriad of other expenses which often change based on the number of guests. (Note: The average wedding in the United States is between 150 - 180 Guests.)

3. Your Budget Range Ah yes, the budget. For many, nothing brings a Bride's and Groom's grand dreams of a spectacular, Celebrity-style wedded affair back to reality like a discussion about the budget. Now, if you or your Parent's have been saving for this day since you were 13 years old or you have a Trust Fund and money is truly "no object" this may not apply to you. However, in my experience, even the most Financially Well off Client did not get that way without having some understand of money or doing research. As uncomfortable as it may be for some couples to talk about a wedding budget it is important to research the costs involved in a wedding and the services associated with it.

The truth is most couples have no idea how much a wedding costs until they begin planning a wedding. They soon discover it is very, very different from planning a Holiday or Birthday Party. For example; did you know the average wedding in the United States (even during the current economic conditions) is approximately $28,000? The best way to approach your budget will be to think in terms of Range and Percentages.

Because some costs will fluctuate give yourself a reasonable budget range. Example; $20,000 - $25,000 or $27,000 - $32,000. Remember, your budget will have to be broken down into percentages where each category of the products and services will receive a portion of. Example; A percentage for Venue, Catering, Attire, Photographer, etc. Keep this number in mind when you are asking Venues and Vendors about services but also keep in mind they will be a "Percentage" of the total.

Gotta, gotta have it!!

Really, really want a specific Vendor but not sure you can afford them? Ok, here is were the budget range comes into play. I've had a wide range of Clients with a wide range of budgets and what I've found is not every Bride (and Groom) values the same things. One who would kill for a particular Venue could not care less about the Dress and ended up buying one at a consignment shoppe. Another who didn't care where it took place as long as they had a certain Photographer. So the next step is to really determine what is most important to you and adjust the percentage to reflect what you really want. For example; I've worked with a Bride who had her heart sent on 3 things - particular Venue (very high-end location) with great food, a High-end Photographer and a particular Planner (me). That (well, and the Groom) was what was the most important to her. In the end she reduced the number of guests at her wedding and opted for our simple floral designs and created a breathtaking, intimate wedding experience!

With the exception of possibly your wedding date these numbers do not have to be set in stone (although I have heard of a couple who actually changed their wedding date just to book a particular photographer they loved... true story). These numbers will be used as a frame of reference to determining the best fit for you and if the Vendor can accommodate your needs. Ok, so what are you waiting?.. Happy Planning!!

Getting the Venue & Vendors you really want (Part I)

While many people may postpone "Big Day" planning for "Big Game" party planning I was inspired to write this post about a problem I've noticed some Brides are having.

After the beginning of "Wedding Show Season" and weeks (or for some months) of procrastination, some Brides and Grooms are finally finding time to start the process of planning for their "Special Day". The phone here at the Event Design Studio-gallery has been ringing with enthusiastic Brides who have been newly re-energized by some recent Bridal Shows. And as much as I adore chatting with excited Brides eager to begin envisioning their wedding day, I've also found myself gently (and sadly) turning Brides away who have their hearts set on hiring us only to find that we are already booked for their date. Oh don't get me wrong, we are by no means booked up for 2011, in fact, we have plenty of availability but there are simply some days that are just more popular than others and are already taken.

I've noticed that some Brides, especially those who are a little anxious about their budget, have held off until the last minute to explore their options with some Vendors. And this is completely understandable, after all, it's a very big, emotional decision and you should not feel pressured into making a snap decision. The problem, on the other hand, is that this is the opposite approach they should be taking. If you are concerned about your budget but have "fallen head over heals" with a particular Venue or the work of a specific Vendor then you should contact them as soon as possible and start a conversation!

Remember, some "highly sought after" Venues and Vendors are so because they offer unique, high-quality and even one-of-a-kind services and as a result they tend to book up earlier than others. For example; we offer a limited Caricarture service for Clients. In the past our Clients have been mainly Holiday Parties, Children's Parties, Company Picnics, After Prom Parties, etc. However, in the last year or so this service has become extremely popular for rehearsal dinners, cocktail hours, and wedding receptions. In the last few days we have actually received several calls for dates in the next 6 months requesting Caricature Services (many of which on the same day). Unfortunately, we are already booked for Wedding Design, Flowers, Decor and Coordinating Services on some of those days and even our other secondary Artists are booked too.

If you have your heart set on a certain Location, Planner, Photographer, Florist, Caterer, etc at least start talking to them early. Contact them for a consultation and to check their availability. I'm not saying you have to sign a contract right way but start the conversation - most Vendors are delighted to:

1. Check availability and offer little known booking tips.

Example: Most people try to book a Saturday wedding but did you know some Venues and Vendors may offer special pricing for less popular days or time? Some Brides & Grooms take advantage of lower prices for Friday, Sunday and even weekday events that may be offered by their dream Venue.

2. Offer suggestions of services that may fit your needs

There may be products, service solutions and even industry innovations you not be aware of. Example: Many Client's contact us for Planning and Coordinating services and are then excited to discover that we also offer Linen Rentals and Floral Design services too. While Full Design and Coordinating Services may not be a good fit for some Brides we may be able to offer a Partial Planning service with other recommendations... it all starts with a phone call and being open to learn what the Vendor can do for you.

3. Stay in touch.

Being able to put down a deposit is ideal but if you are still looking around and you are really leaning towards a particular Vendor you may be able to ask for a written proposal, for them to follow-up with you in a few days or, in some cases, a "1st Refusal" (that means mark you as interested in the date for a limited amount of time and if another Bride calls about the date they can call you back to see if you are still interested). Now by no means is a Vendor required to hold a date for you without a deposit. In fact, there is no way to guarantee a date is reserved for you without a deposit however, if you are working with an established professional Planner and you are sincere about using their service they may consider offering this as a courtesy only.

4. Help you create a Payment schedules.

Another advantage of contacting Vendors as soon as you can is the opportunity to break-down your payments over time. This may make their service more affordable over a designated period of time

5. Or, if all else fails... Referrals.

I myself have happily referred Brides and Grooms to another colleagues of mine who I know will be a good fit for a couple and will provide the quality of service they are looking for if we can't help them. I've also received referrals from colleagues who are familiar with the quality of service we offer our Clients and were booked on a particular date. On Saturday, January 15th, the Uniquely Yours Bridal Showcase kicked off with a VIP Cocktail Party with Celebrity Designer, Author and Television Star David Tutera. I have to say, he was simply the most personable and gracious person. Taking the time to talk to everyone and making us all feel special.

I was honored to be part of the team of designers, florists and decorators collaborating on the design of the Cocktail party.

The VIP Cocktail Party was just the beginning! David Tutera was also the guest MC during the amazing Uniquely Yours Bridal Showcase the following day on Sunday, January 16th. With over 120 of the regions most in demand Professional Wedding Vendors, Vivid Expressions was in great company. Brides, Grooms and even other Vendors fell in love with our booth (#91). We created one-of-a-kind designs and Artwork not seen before in Hampton Roads and our "White Peacock" generated a tremendous amount of buzz... but more about that later. 2011 Trend Forecast: Part II - Making Whoopie!!

The ever so cute "couture" (or gourmet) cupcake trend shows no sign of slowing down in 2011. With more high-end cupcake tree designs, elaborate displays, and even sophisticated flavor profiles, the cupcakes' popularity will continue to thrive and capture the imaginations of Brides & Grooms in the year to come. In fact, you will notice that the cupcake will actually evolve. Oh there will always the standard favorite like Vanilla and Chocolate however, it will be elevated to flavors like French Vanilla Bean and Mexican Dark Chocolate. And it doesn't stop there. Keep an eye out for out of the culinary box flavors like Banana's Foster, Chi Tea Latte, and the very popular Champagne.

Flavor will not be the only thing that will change in weddings and events. The cupcake will also transform into "Cake Pops". Cake Pops are a fun twist on the lollipop where small, bit-sized balls of cake are coated in chocolate (or some other confection) and served on a lollipop stick... great for nibbling while mingling during a reception.

Another variation of the cake that you'll see more and more in 2011 will be the return of the good ole' fashion "Whoopie Pie". These big, fluffy round cake sandwiches can be made in flavors ranging from the traditional chocolate, vanilla and even red velvet. When incorporated into a table-scape or added to selection of a dessert bar they create an enchanting display.

Great Style, Fine Artwork, and brilliant Design techniques are truly timeless. I really love watching classic Fine Art and Design techniques making a come back and it looks like 2011 will be the year we see the reinvention, re-introduction and incorporation of one such technique in wedding designs. We expect to see a tremendous appearance of the classic "Silhouette" image being used as a trend in creative wedding and special event designs. We in the Vivid Expressions Event & Wedding Design Studio-gallery are expecting to receive a number of requests to create illustrations and decor designs of Clients who'd like to include cameos and other silhouette elements into their event.

Thinking about adding silhouette images to your wedding design or event theme? Be cautious. Silhouettes and cameos are images that create form (and even mass) in a stark contrast they can produce a strong impact and if one over uses them they can go from creating a distinct continuous design theme to just being overwhelming (and a little obnoxious). However, used correctly in the right number, scale and balance spread throughout an event's design silhouettes can add a unique, fantastic accent for Vintage, Romantic, Bohemian, or Eclectic wedding. Look for silhouette images and cameos appearing in many forms in event and wedding element designs in 2011 such as stationary, bridal accessories, room decor, cake designs, table-scape elements, favors, lighting design, and more.

Why do we love New Years so? It's not just the champagne toasts, confetti, and fireworks - there are so many ways to bring in the "New Year" and say far well to the old. So many ways to let go of the past and start all over again. Perhaps that's what we love, it's the chance to reset the clock and welcome all the new possibilities of a few a brand new year.

I like to start the year off by writing a few lists. Tonight I'm writing 3 lists:
1.) What I'm most thankful for in my life right now.
2.) What I'd like to accomplish by one year from today
3.) What I'm going to do to improve, enhance and treasure my relationships with my family and friends.
So, what about you? Don't forget to mail it off to yourself tomorrow. When you receive it put it up someplace safe and don't open it for at least 6 months to see what how your doing.

I want to take this moment to thank you for making 2010 such an amazing year for us - I hope we've brought some inspiration, beauty, and laughter to you over this past year. We wish you all the joy and promise of the happiest of New Years! Here's to a fantastic 2011!

What a fantastic afternoon at the historic Chamerlin in Hampton, Virginia yesterday. We were honored to be in the company of dozens of fine vendors offering entertainment, gifts, and more at The Chamerlin's first Holiday Open House. A spectacular scene showcasing this exquisite venue and treating guests to live Holiday Carols, a Gingerbread Workshop, Horse & Pony Rides, Face painting, Hot Cocoa & Cider, Cookies and so much more. I can honestly the experience was one of a kind and I was delighted the Vivid Expressions could be a part of the festivities. Here are just a few highlights from the celebration... enjoy!

What is your Personal Work Ethic Philosophy? I recent saw truly inspiring Oprah Winfrey on a Barbara Walters special discussing some of her own (no pun intended) philosophy on work, charity, legacy and being of service to others to a divine or philanthropic purpose. She quoted a song which lyrics said, "just keep on using me until you use me up."

If you ever wonder what my philosophy is when it comes to my approach towards the work I and my team do (Any work - Regardless of how big or small, how fun or difficult) it is actually two fold. The first is to remember everything I (or those I work with) do will benefit the "Greater Good" (or the "Bigger Picture"). In my case the "Greater Good" is usually the event, the Client, the experience of the guests and so on.

The second is to strive to do every job (again regardless of task's size or status) with great care, pride, dedication, to the best of my ability and usually extending myself to rise above and beyond what is called for. I often think of these words which sum up my philosophy beautifully...

"If it falls to our luck to be street-sweepers, sweep the streets, like Raphael painted pictures, like Michelangelo carved marble, like Shakespeare wrote poetry, and like Beethoven composed music. Sweep the streets so well that all the hosts of heaven and earth would have to pause and say ... ...Here lived a great street sweeper"

A moment of gratitude

It was about this time last year, well every year, that I take a moment to sit down, reflect and plan for the year to come. Most people are familiar with a "Goal" or "To do" list for the New Year. Some write down the resolutions (changes in behavior) and goals - mapping our a plan to achieve what that want accomplish in the year to come. I did something similar to this last year accept I added on large twist. Before I even considered "what I wanted to do" in 2010 I wrote a two and a half page list of what I was "Thankful for having right now" in 2009. I didn't expect this letter to be so long but once you really sit down and take account of what you have, what you are truly thankful and blessed. What were some of my items? My beautiful, healthy daughter, a warm and safe home, my marketable talents and skills, being able to spend time with my Mother who is alive and well, and so on.

So, why is a Gratitude list so important when setting goals for the New Year? It's, in part, because of the "Law of Attraction". The Law of Attraction is a theory that our thoughts, believes and even feels play a critical role in the life we currently have and in the manifestation of what we create in our lives - a positive state of minds and vision attracting positive results and likewise with negative mindset.

In order to be in the proper state of mind to attract and achieve success you must not only focus on some kind of future success. That puts us in a constant state of anticipation and may even leave us with a feeling of un-fulfillment. Instead envision today's success, place yourself in a state of accomplishment and gratitude right now! This mindset and feelings will fuel you to meet your goals.

I recently opened and read the envelope that held my "Gratitude & Goals" letters which I wrote and mailed to myself a day before New Years Eve last year. I found myself stunned by how much I've achieve over the past 12 months and was also reminded of what I am grateful for in my life. It's the most empowering way to end the old year and begin the new. B e grateful and goal oriented 2011... try it!!

How many Hors d'oeuvres do you need?

Woo hoo! The Holiday party season is about to begin! A fantastic time of year for friends, family, food, and fun. It's also a great Holiday Party opportunity for Hosts to throw Cocktail Parties. Cocktail parties are popular at this time of year because they are just so flexible. They can be a preludes to a dinner, done in conjunction with another friend's party as a "kick-off" a bigger party or a Cocktail Party can simply stand alone as a time to relaxing and mingle.

I could focus on the "Cocktails" to serve at a Cocktail party (or even a cocktail reception) but it's also important to make sure offer enough hors d’oeuvres for your guests. So how many hors d'oeuvres do you need for the crowd? Here are some tips to help determine the type of Hors d'oeuvre Service to offer guests (Light, Medium and Heavy Hors D’Oeuvres) and how much to feed your guests.

Light Hors D'oeuvres
Light Hors d’œuvres refer small appetizers served as an afternoon snack or before a seated meal. They may be cold, light, and often consist of fruit, crudités (cut fresh vegetables), cheeses, dips, spreads, and crackers. They are usually accompanied by cocktails or other beverages such as tea, coffee, sparkling water, punch, etc.

Light Hors D'oeuvre Service
When serving light Hors d'oeuvres plan on 4 - 6 pieces per guest.

Medium Hors D'oeuvres
Medium style Hors d’oeuvre service will offer your guests more food and can be considered a hearty snack eaten between lunch and a late dinner. They can consist of many of the same items seen in a light Hors d’oeuvre service but they may also include delicate savory finger sandwiches, petit fours, small tarts and sweets – much like the foods you’d find in a British-style Afternoon tea.

Medium Hors d'oeuvre Service
Plan 7 to 10 pieces per guest

Heavy Hors D'oeuvres
Heavy Hors d’oeuvres are the most substantial of the Hors d’oeuvre services. These Hors d’oevres are usually cooked and served warm (ex: savory or sweet Baked Puffed Pastries, Greek Lamb Meatballs, Mini Spring rolls, Bacon wrapped Scallops, Thai Chicken skewers, Smoked Salmon on mini potato pancakes, Beef with Horseradish on Crostinis, etc). Heavy Hors d’oeuvres can be used to substitute a meal and are ideal for cocktail parties and cocktail-style receptions.

Plan for at least 11 to 13 pieces per guest

Behind the Design: Can you see me now?

Ok, image celebrating a very special occasion. Perhaps it's a fantastic wedding or cherished anniversary. It could even be a wonderful birthday honoring someone you love. In any case, it's a joyous celebration simply filled with family or friends you haven't seen in a while, dozens of fun activities and traditions you will surely treasure for a lifetime. It doesn't matter if it's a wedding or a reunion there will most certainly be toasts, dancing, laughter and tons of memories... you just wouldn't want to miss one moment of it.

Guests enter the reception hall or ballroom and all remark on the decorations. The dramatic professional lighting and the beautiful special linens and exquisite place settings. They then notice the interesting centerpieces done by a "friend" of the host who is "crafty" - decorative and promenade on the center of each tables. Well, if the other guests didn't take the time to notice them they soon will and they better like them because unfortunately, they will be the only thing they are going to see. In design any piece most meet the two criteria of form and function, the centerpiece was not designed to meet those needs. One of the biggest mistakes I see in novice table designs is when someone does not take into account Scale and Line of Sight.

Scale

Scale, in the case, refers to the design of an item (or focal point like that of a Centerpiece) that is in balance, correct proportion, and size in comparison to the space and/or items around it.

Line of Sight
This is the visual space or area over the tabletop that allows guests to have an unobstructed view across a table and across the room. Low centerpieces (Centerpieces typically less than 10" tall) do not present this issue and are the simplest solutions however, the design of some tall centerpieces may be a concern. There are two design techniques that may used to insure a tall centerpiece that does not interfere with the Line of Sight of guests. The first is to create one that's largest, most dense area or focal point rests at least 24" above the table. Another is to create a tall design that's structure is translucent, wispy or consists of a lot of "negative space" or open spaces throughout the area between the base and up to at least 24" above the table.

Left Behind - Waisted Favors, Waisted Money

The last song is playing, the guests are saying their "Good-byes", and the blissful Bride & Groom are heading to their honeymoon suite. As the Ballroom or Reception hall's lights raise and the room is illuminated the break-down process swiftly begins and dozens of staff and event professionals buzz around clearing, uninstalling, removing and cleaning. Now, if I've done my job my Client is completely oblivious to this is "Behind the scenes magic" however if you've ever attending a wedding reception odds are you've noticed one thing we occasionally see as well.

Think about, the celebration is coming to end and you begin to gather your jacket, purse or keys. You look down and you see them. Scattered across the table - leftover favors. Maybe you feel bad that the Bride & Groom took the time (and money) to select those bottles of bubbles or tulle wrapped Jordan Almonds (which I personally avoid) and you decide to take one just out of courtesy. Of course, they will probably end up in a drawer or even the trash once you get home.

THE PROBLEM:

Some Couples spend a good deal of money purchasing the same old types of "generic" favors for 50, 150, 225, 300 or more guests only to have about half of them left behind on the tables after the event is over. So why are they left behind? Because they are so generic or simply don't have any practical use. After all, not everyone will want a tiny tube of bubbles. The truth is, I always advise my Clients to spend money on the things they really want as a part of the experience of their special day. I ask them to think creatively and "out-side-of-the-box" when it comes to traditions. Some Couples have simply choosen not offer their guests favors however, they often feel guilty about not having something special designated as a souvenir of their "Special Day".

THE SOLUTION:

The solution is to make favors unique and to only give favors to those who REALLY want them. Select favors that guests can only receive if they really want them - items that are made "on-the-spot" or that serve a purpose other than just remembering the day. Here are a few great ideas that wont be left behind on the table:

Take-away Buffets or Bars:
Candy or Dessert Buffets continue to be very popular. Gee, I wonder why? Perhaps it is the fact that they allows us to have that "kid in a Candy Store" feeling. It's a great favor option because guests can select and package their own goodies in bags or boxes designed to commemorate the day. Because this is self-serve only the guests who want the candy (and will take the candy home) will get the candy. For a more Adult favor consider other theme "Buffets or Bars" such as Cigar Bar with a professional who hand-rolls cigars with custom design label band displaying the Bride & Grooms name. Also, consider a Coffee Bar. I know a vendor who produces custom roasted gourmet coffee so I suggested to a Client to have some custom printed mugs or small packaged bags of coffee right next to the Coffee station. That way only the coffee lovers would pick one up.

On-the-spot Art:
Smile!! Personal pictures made on the spot are another way to make sure only the guests that want a special keepsake will take one home. Photo booths are not just for Corporate Holiday Parties, Sweet Sixteen or Bat/Bar Mitzvah celebrations - for the last few years Photo booths have gained and still continue to grow ing popularity for wedding receptions of fun and fabulous Brides & Grooms. Usually, the Booths are an all inclusive services. They are set-up with an operator throughout the event and in a matter of about 3 minutes guests walk away with a few photos that usually has the Couples name and date on it. In the same 3 or 5 minutes you can also have a Caricature Artist draw pictures of your guests. Once again, only the guests who want one will receive one.

Double Duty Favors:
Lastly consider favors that may serve two purposes - perhaps acting as decorative elements for the table. For example: I sometimes have Clients who would love to have chargers or elaborate place setting at the tables but find it is outside of the budget. Instead we print Special Cards. Menu cards are placed at every seat with special messages such as a poem or lyrics from the Couples first dance song to enhance the look of each place setting. These cards then serve multiple purposes - decorating the place setting, informing guests of the menu, sharing a sentimental touch and guests can opt to take it with them as a memento.

Finally, select a favor that guests are never meant to take home anyway. This is one of my favorite favors, Donation Favors. Donation Favors are available for Brides, Grooms, and other Party Hosts who want to give a charitable (and tax-deductible) donation in lieu of buying traditional wedding or event favors for their guests. The organization provides them with special favors (personalized cards, elegant bookmarks, etc.) along with information about their donation gift. Usually, the suggested donation is anywhere from $2 to $5 per guest which includes the cost of printing. Best of all, these favors are never a waist of money!

Behind the Design: "Theme vs. Style"

I had a couple of Design Consultations this week which for me are simply a joy because I get opportunity to really get to know my potential Client. Oh, and of course they get to know me too but after viewing a few samples and reviewing my credentials and experience it's really all about them, after all, it's their celebration. I adore learning about their hopes, their dreams, what they love and who they really are. Most importantly I can help them identify their personal style in true design terms.

If fact, I recently had a Bride who was very clear on the "theme" she wanted for her wedding (presenting me with a picture and a two word description) but she was very surprised to find how much time I spent discussing her personal likes and dislikes. Perhaps she thought the process would be like ordering off a menu but we chatting about much more - what she wears, taste in books, even the type of artwork and furniture she leans towards. It was all about identifying her personal "Style" - she was extremely impressed. So, let me share a few basics about the difference between Theme and Style.

Theme:

A Theme explores a general idea or message. This is seen often in Literature, Movies, Television, Theatre, Artwork, Music, etc. The concept of a theme translates well in Event Design because, at it's best, an event venue offers a "stage" for the "scenes" or action of your event to play out - just as it would be conveyed in Books, Movies, etc.

Style:

Style refers to the structure and manner in which content or concepts will be delivered to the audience or user. In story telling, books for example, the author's "style" of writing is very distinct and may or may not appeal to the reader. In visual terms like Fine Art, Interior Design, Graphic Design, Fashion Design and, of course, Event Design style generally falls into a number of very specific defined categories including Modern, Bohemian, etc. Often see in
Visual Art, it's also refers to the "look" achieved through the use of established design techniques and principles such as the minimal use of space and clean lines seen in Contemporary design style.

So, now that we've discussed the difference between "Theme vs. Style" can you think of any designs you've seen that may convey a theme but no consistent style? or a style but not defined theme?

Ok, I'm more than just smitten... I'm in love!! Truly, head over heals. Don't get me wrong. I love my own precious ring but if you know me (um, and if my design for the company logo didn't give it away) then you know how much I absolutely adore butterflies and this collection of brilliant "Calla Diamond" designs are simply breathtaking.

For Brides (or Grooms preparing to pop the question) with a fluttering flare this ring design may be for you. Created by jewelry design Nelson Ho, the "Calla Collection" was inspired by the playful dance in the flirtation of a butterfly and a Calla Lily. The four uniquely cut diamonds brought together to form a butterfly (as seen in the three rings on the left) or with a large stone with two butterflies clusters on either side of the setting. Rules for a Hurricane Wedding

As some of you may know, I first became introduced to the wedding planning industry after my own lovely wedding which took place only two days after Hurricane Isabel devastated the Southeastern Virginia in 2003. And while I hope you will never be faced with dealing with 2/3s of your State loosing power and your Governor issuing a "State of Emergency" on your wedding day, with the approach of Hurricane Earl I felt the need to share some key tips for executing a happy hurricane wedding.

If a Hurricane strikes three, two or even one day before your wedding day there is some good news. Usually the weather after such a storm is pristine - clear skies, mild weather... simply beautiful. However, the bad news is depending on the severity of the storm many basic services and resources may be compromised such as roads that are flooded, landscapes that may be littered with fallen trees, and electricity, gas, telecommunications services which may be out for days if not weeks. But, as most of us in the Event Industry know, in many cases the show must go on. And if your Great Aunt Lulu is able to make the trip, the Officiant is able to show up and if your adoring Fiance and you are able to walk down the aisle... "I dos" will be said! Here are just 5 things to keep in mind for your wedding if it happens to be in the path of a Hurricane.

It takes a Village or in this case a "Team":
The most important element of a Brides wedding (besides the Groom of course) will aways be the Team... yes, I said "Team" of people that it will take to make the day possible. Consider two types of Teams for your wedding.

The Pro Team - These are the "Professional Wedding Vendors" you have hired for your wedding day. They include your Planner/Coordinator, Ceremony Site, Reception Site, Caterer, Baker, Florist, DJ/Band, Rental Companies, Mark-up Artist, and another service providers needed to create the event. This is were all of the detailed research, expense you've invested, and quality of professionals you've selected for your special day will pay off. The most Professional Vendors will have not only have tremendous skill and experience but will have plans, solutions, and capabilities to deal with emergencies. For example: Chariots for Hire, a local Horse drawn carriage company, actually have a tractor trailer available to transport the Horse & Carriage through flooded areas.
The Support Team - These are the friends and family you've chosen to be a part of your very special day. Usually these people were chosen because they are reliable and genuinely care about your happiness and well-being. Also keep in mind that a wedding is a huge commitment for a Bridal Party. From purchasing dresses and accessories to fittings and rehearsals - your Bridal Party is investing a great deal of their own personal time and money to insure you experience the wedding day of your dreams. But their involvement doesn't end there. Often times it is your "Support Team" of friends and family that you will turn to for advice, encouragement, to laugh with, and offer so much emotional support. In the case of an emergency you may have to ask even more of them and so it may be important to let them know you may be calling on them if an emergency hits to help out. Don't just assume they will know that in advance that you'll be calling on them and be mindful that they may have to deal with their own family concerns too - just ask them in advance if they wouldn't mind helping if needed.

Tangible Vision:
During the planning process your taken great care to create a vivid vision of every single detail of your wedding.

Bridal Binder - Most Brides have their planning materials in a binder - keep it handy!
Share the knowledge - Your Planner/Coordinator should have copies of all of your materials such as contracts, diagrams, contact lists, timeline, etc. If a picture is worth a thousand words then our concept illustrations help to give our Brides a library of information at a glance, creating a quick blueprint of the wedding.

Communication:
Can you hear me now?!? Being about to share information, trouble shoot and make last minute changes smoothly and without confusion is going to be key.

Vendor Communications - Talk to your vendors before the storm hits! Confirm delivery schedules, appointments, and reservations (such as hotel rooms for the night of). Express your concerns and discuss their procedures. If you haven't already done so, talk to your venue about Rain Site options or if they have a generator on site. Also, review the cancellation policies again. Most locations will honor your reception on another date - giving you the option of a "Wedding Celebration Party" on another day following your wedding instead of a "Wedding Reception" on the day of your wedding. This way you are all on the same page.
Point of Contact - If you already have a professional Wedding Planner/Coordinator you place then your are more than likely in good hands. Your Coordinator (and their own team) will be more than able to handle the many moving parts of your wedding day. Just be sure to provide them with the most up-to-date contact information for yourself, your Bridal Party, and your Vendors. If you do not have a Planner be sure to discuss your designated Point of Contact with your Vendors since the odds are you will be far to busy on your wedding day. Many Vendor Contracts only list one authorized Point of Contact so you you have an alternate be sure to not only inform them but see if they require any written authorization forms from you prior to the day of.
Information Network - Your Participants should have phone lists. Your Coordinator and Bridal Party (usually Bridesmaids) should have lists for Bridal Party Members and Vendors.

Logistics:

Transportation - Make sure you have your transportation plan in place not only for yourself and Bridal Party but for any deliverable that need to be transported during your wedding day such as programs, favors, placecards, etc. If you don't have a plan already in place with your Professional Wedding Planner/Coordinator then you and your Bridal Party will have to take on the task of planning and executing a transportation plan. Note: During power outage Gas Stations may not be accessible so be sure to fill your car with gasoline before a storm hits.
Communication Devices - Try to write down the landline telephone number of each location you will be at that day such as Hotels, Church, Reception Sites, etc. Remember to charge your cell phone and make sure you have a landline phone available. Note: Cable Provider Telephone Service will not work in a power outage however, Analog Phone Service will.

Emergency Basics:
Typically your Coordinator will have his/her "Emergency Kit" on site but if you'd like to have a few additional items handy here are a few recommendations.

Batteries (in a variety of sizes)

Boom Box/Radio (with CD Player & CDs for ceremony music)

Bottles of Water (a case of water is a great idea)

Food (Consider snacks like crackers, energy bars, dried fruit snacks, etc.)

Toiletries (including Deodorant, Bounces dryer sheets which helps repel bugs, tissues, breath mints, hand-sanitizer, clear nail polish, disposable razor, brush, hair pins/combs, lint brush, candles & matches, safety pins, etc.)

Bonus!
Ok, here's a bonus tip...

Be Positive and cherish the day! - Let go of the negativity and the things you can't control. Forget the old saying, "What can go wrong, will go wrong". Instead, trust in the high-quality Professionals and Vendors you've chosen and "What can go right, will go right". Be Positive, thankful for your support team, and remember that not only is everything thing going to be "ok" but at the end of it all you will sharing one of the most important days of your life with the people who love and mean the most to you. After all, no one lies in bed at the twilight of their life wishing they'd spent more time away from their family and friends. Special events are milestones go by faster than you can imagine so enjoy them!

Behind the Design: Focal Point vs Details & Accents

It's that time again! Time to go "Behind the Design". It's time to take a look at he link between Fine Art & Design Principles and Event Design. Today I'd like to focus... I mean really focus, on what really draws you into a design, one of the biggest mistakes I see Event Designs and how understanding how we, as viewers, react.

In Fine Art a "Focal Point" is the specific area of focus (the place were your eye is drawn to) on the piece of art. Focal Points can be created with color, light, proportion and its position in the total space such as the canvas. For example, in the Johannes Vermeer portrait "Girl with a Pearl Earring", the painting features a three quarter view of a young girl's face with a dark background illuminated by light. Art first viewers may try to focus on the face itself but it is the pearl earring near the center of the painting that catches the viewer's attention and draws their eye to that area of the canvas.

In Interior Design, because you are dealing with the scale of a 3-Dimensional space a Focal Point will be larger and fit proportionally with the size of the room - example: a striking mirror in the foyer, a larger piece of artwork over the sofa, floor to ceiling window treatments or a dramatic bed frame.

In Tablescapes and Event Designs determining the Focal Point(s) should be one of the initial step of the design process. Use of lighting, color and position in a space (in the case of Event Design, space refers to the surface of the table or the space in the event venue) are used in developing the Focal Point however, they are not the most common mistakes. Often times the biggest mistake is "focusing" in details and accents instead of the Focal Point. They find a bunch of cute little favors or decorative accessories but do not begin with creating a cohesive overall design plan or layout and the complete look never really quite comes together.

In another recent post, Behind the Design: Tablescape Scale and Proportion, I asked readers to imagine the most beautiful, exquisite perfect orchid... then imagine it is floating in a kiddy-pool, then in the middle of a huge Olympic size pool. The point, it doesn't mater how lovely the decorative element, if it is not used in a design that considers the proper and scale it looses it's impact. The other side of this is a design that is too big and not function to the scale of the table or room - the poor guests struggle to see each other or across the room. Remember, the number one rule of design is "All good design should demonstrate both form and function".

Inspiration Board vs Concept Board

Every once in a while I'm reminded that not everyone understands what I do. After all, we're the first in our area to take a technique often used in Film-making, Architecture, Fashion Design and Interior Design and incorporate it into "Wedding and Event Design". First let's talk about the new popularity of "Inspiration Board".

Inspiration Boards:

In recent years the use of Inspiration Boards has gained mass appeal in Wedding and Event Design. Once used as an empowerment tool to envision goals and help inspire, an "Inspiration Board" in wedding planning is a visual collection of "inspiration" or design ideas. A collage of images (typically from magazines, photographs, the Internet, etc.), Inspiration Boards are usually pictures from other weddings or events. The Inspiration Board is created to reflect and convey many of the general likes, looks, and styles that appeal to the Bride & Groom and usually have images of a common theme or color scheme. They can feature everything from pictures of Wedding Cakes, Invitations, Wedding Gown, Floral Arrangements/Bouquets, Accessories, etc. The downside is because an Inspiration Board is basically a collections of pictures from other people's weddings there can be a tendency of repeating the same looks over and over again. Often people may see a wide range of images "they like" but have trouble putting it all together... why? Because you can "like" a lot of different images, ideas and style but they may not necessarily be "their style" or reflect their personality. Don't get me wrong, I do love the Inspiration Board because it can be a very helpful tool to Brides & Grooms, it allows them to really examine and visually identify many of the design options that are out there.

Concept Boards:

Concept Boards or Concept Illustrations are different from Inspiration Boards. Think about the last awe-inspiring, visually breathtaking movie you saw. Think about the captivating scenery, background and even the customs that transported you into a different world. Did you know that before any camera's rolled for the filming, before sets are built for each beautiful scene in the movie, or any costumes are created for the Actors an Artist sketches and paints custom illustrations of each scene and it's the details? From their the Set Design and Crew work to create the entire scene on a sound stage or transform the location being filmed. A Concept Board or Illustration is a custom created drawing or painting of depicting a person's wedding or event design. Created to especially reflect the individual vision and details of the Bride & Groom's (or Event Host's) specific event it can be an illustration of the design entire event scene or of details of the event such as Centerpieces, Tablescapes, Bouquets, Alter Decorations, etc. They may also use special elements or items in the finished Concept Illustration. Example; If a Bride bring has a swatch of fabric from a dress or a her Grandmother's Broach I would create an original design based on that item and draw an illustration that they may present to the Bride.

Yes, I'm one those people. I admit I get all "choked up" every time the new house is revealed to the struggling family overcoming hardship during "Extreme Makeover Home Edition". Wedding by their very nature warm the heart and I truly hope to help every couple that we encounter so the idea of bringing such happiness to deserving couples just makes me smile. Design Trend: Lantern Love

Ever wonder what it is about candlelight that we love so much? Next to the oh so flattering glow of natural light, candlelight can be used to create some of the most warm, romantic atmosphere. Candlelight creates a natural warm undertone, unlike that found with incandescence or florescent lighting which casts a blue or greenish-yellow undertone that tends to be unflattering for more skin tones.

With candlelight the flickering light dancing atop a table, down an aisle and even suspended from above truly adds enchanting elements to the design of any event. Let's face it, nothing sets the mood like candles. 3rd July Wedding

Congratulations to Marie & Rex on "3rd of July" wedding!

Silver & Blue (we're talking about a couple of true Dallas Fans) where the colors of this wedding. Unique, shimmering silver "wrap-around" chair covers created a soft flowing, elegance and feeling of drama to the room design and each table. The centerpieces featured the gentle flickering glow of Silver (and some Blue) Lanterns at the center of each floral arrangement made with fresh flowers hand-painted (yes, those are "real" fresh flower and yes, they are hand-painted) blue to reflect the theme colors. Here are a few pics taken during set-up but I'm anxiously awaiting more images which I'm looking forward to sharing with you soon. In the meanwhile... enjoy!
